Location: Cardiff Office

Reports To: Warehouse and Logistics Manager

Purpose: To ensure stock movements are updated on the company’s system and all transport issues are resolved in a timely manner.

- This role will be privy to some confidential and sensitive information and as such the individual undertaking the role will be expected to treat this information as sensitive discussing it only with those people who have the necessary authority.

Main Tasks and Objectives - Collect parts using the approved carriers for all items left on site by engineers (PLOS).
- Manage the volume of PLOS using the various reports and within the agreed timeframe
- Manage the site supply delivery process using Vista’s system (IFS)
- Use the transport supplier’s app effectively to update IFS with POD details in a timely manner
- Update the various departments of ongoing issues regarding shipments and parts availability
- Communicate effectively with customers, suppliers and internal departments
- Build a rapport with our transport suppliers to maintain high levels of service

- Administer International despatches and collections
- Provide commercial invoices for exports and resolve any customs queries
- Track consignments if lost and provide details for claims to be processed for the desired outcome
- Administer stock adjustments, records and audits
- Process shipments accurately using IFS for all forward stock locations and in a timely manner
- General administrative duties to support the warehouse and logistics team.
- Ensure health and safety guidelines are adhered to and raise health and safety concerns to their manager when necessary. Outcomes and Deliverables
- IFS stock levels on accurate and up to date
- Achieve the customers service levels within the agreed timeframe
- Transport issues are resolved within a timely manner In addition to the above duties the post holder must be prepared to undertake such additional duties which may result from changing circumstances.

All staff are expected to comply with all VTS Ltd management systems and procedures and conform to the requirements of all standards and certifications held by Vista Technology Support Ltd.
