You’ll play an essential role in a fast-paced team that is made up of
- Venue (Track, site and buildings)
- Medical (Onsite medical facility and services)
- Security (public safety and site security)
- Health & Safety (including circuit safety team)
- Public Events (including the British Grand Prix, MotoGP, Classic and Club meetings and bespoke leisure events)
- Corporate & Hospitality events (Day to day delivery of track days, testing and conferencing, banqueting, catering and hospitality).
**JOB PURPOSE**
Working in a fast-paced and multi-dimensional environment the Venue Services Coordinator will be responsible for collating venue services requirements around the site. To work with the Circuit Manager to ensure the venue projects and maintenance are on track ensuring the needs of the organisation are met on time. Monitoring progress around site and coordinating new processes to complete tasks in a timely manner whilst looking at ways to be more efficient.
**KEY RESPONSIBILITIES**
- Working with the Circuit Manager to track current building projects and maintenance works are completed in a timely manner.
- Raise Purchase Orders in accordance with financial procedures and budget tracking.
- To assist with the completion of all relevant documentation; standard operating procedures, risk assessments, method statements.
- Support the accreditation team in ensuring all venue contractors have the appropriate pass requirements throughout the year.
- To collect utilities usage around site and produce figures for Carbon emissions calculations.
- Coordinate vehicle checks register and work equipment checks in line with the Health & Safety policy.
- To attend weekly operations meetings to provide updates and feedback.
- Maintain a record of the venue services team rota, timesheets and holidays.
- To ensure all maintenance works are booked into the calendar prior to works starting.
- To assist in data collection to provide within the monthly board reports.
- Build strong and productive relationships with both key internal and external stakeholders.
- To maintain stock control of materials used on site throughout the year.
- Regularly update approved contractors and suppliers lists to share with other departments.
- To run the monthly venue site induction new starters tour to provide an overview of the site.
**TEAM RESPONSIBILITIES**
With support from HR oversee the rotas and payroll information of the Circuit Venue Team
Work as part of a team to develop others and support the workload
**PERFORMANCE RESPONSIBILITIES**
