The job
Working in the role of Executive Assistant to the Executive Vice President of Research and Development (R&D) within our well-established, dynamic, global company. Your responsibilities will include providing comprehensive executive support to them as well as supporting in the management of key stakeholder relationships and facilitating the link between them and all facets of the organization.
You will have interpersonal and communication skills to develop positive, productive work relationships, as well as the ability to maintain a high degree of confidentiality and act with tact and diplomacy at all levels. Making administrative and procedural decisions, with sound judgement on sensitive, confidential, urgent issues working under mínimal supervision and in a fast-paced environment.
Outstanding organizational and time management skills, a methodical, efficient approach, and a real attention to detail are essential for this role.
Key responsibilities
- Diary and schedule management including:
- Proactively identifying priorities, commitments, and conflicts
- Arranging internal and external meetings and coordinating logistics and travel arrangements
- Prioritize and ensure the EVP is well-prepared for meetings and commitments.
- Support with regular (weekly) travel requirements and expenses in adherence to AVEVA travel procedures and in a timely manner:
- Develop itineraries.
- Arranging flights, hotels, and transfers
- Securing visa’s and ensuring travel documents are in place.
- Detailed tracking for tax and allowance purposes
- Maintaining high-level communications
- Drafting correspondence
- Proof-reading and editing documents, presentations, and reports as needed.
- Provide support for projects and events:
- Liaising and collaborating with cross-functional teams to gather information and prepare reports.
- Assist in R&D project management tasks, including tracking milestones and deadlines, and ensuring follow-ups are completed.
- Assist in planning and coordinating company events, meetings, and conferences where EVP has a presence.
- Prepare materials and logistics for presentations and events.
- Act as a liaison between the EVP and other functions within the organization.
- Functioning as an interface between the EVP and AVEVA’s global staff
- Handle special projects and ad-hoc requests with a high degree of professionalism.
- Support with management of confidential records and files, ensuring easy retrieval and secure storage of documents.
- Help with information research and data analysis as needed.
Ideal experience
- Proven experience as an executive assistant or in a similar role.
- Exceptional organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong attention to detail and ability to prioritize tasks effectively.
- Discretion and ability to handle confidential information with integrity.
- Flexibility and adaptability to meet evolving business needs.
- Positive attitude and a proactive approach to problem-solving.
