**Accounts Assistant**

**Job Summary**

This position will work closely with the Finance Manager to promote and maintain efficiency in our Accounts department. You will process all invoices according to agreed procedures, and raise payment to agreed terms.

**Responsibilities**:
**Processing invoices**:

- Inputting invoices into our system (OrderWise)
- Checking invoices for completeness
- Verifying supplier invoices prior to payment
- Maintaining accuracy on the purchase ledger
- Communicating with suppliers around invoices and credit notes
- Following internal invoice authorisation and approval processes where required
- Managing supplier portal access where required

**Finance Admin**:

- Reconciling supplier statements and managing anomalies in timely fashion
- Ensuring all supplier queries are actioned efficiently
- Ensuring all internal accounts queries are actioned efficiently
- Maintaining queried and disputed invoices, ensuring that they are dealt with in timely fashion
- Preparing daily and weekly payment runs (both scheduled and ad-hoc)
- Tracking proforma invoices, ensuring that they are handled correctly
- Posting prepayment invoices into system and liaising with Finance Manager to ensure prepayment schedule is updated
- Maintaining asset register
- Ad-hoc duties

**Person Specification**

You will be an experienced Accounts Assistant, with a solid understanding of Accounting and Finance functions within small businesses. You will ideally hold a level 3 AAT, and will have worked in a small finance team previously. As part of a team, you will be able to work collaboratively and ask for help when required.

The role requires you to have strong interpersonal skills to maintain relationships with our suppliers, as well as your colleagues within the business, who will come to you as the first point of contact for invoice and payment queries.

You will have excellent organisational and time-management skills, and be able to manage your own workload. Additionally, you will be open to learning new systems, and have foundational knowledge of the Microsoft Office Suite, specifically Excel and Outlook. You will be analytical and have good attention to detail, as well as the ability to evaluate financial information to identify anomalies.
