**About the Role**

Queensview Medical centre has a vacancy for a GP Practice Administrator. We are a small team so require someone who is flexible and prepared to work within different areas.

This is a varied role undertaking administrative duties to assist with the smooth running of the practice, supporting clinical staff and other members of the practice team.

The post holder will provide a high standard of administration in contact with patients and all members of the Primary Health Care team. Specific and general duties/tasks are described below. The list is not comprehensive but intended as a guide to the work expected of the post holder.

Main objectives and job responsibilities:
To ensure that correct data is accurately entered into patient notes, facilitate effective communication with patients and other outside agencies, dealing with patients over the phone and handling queries.

Scanning and clinical read coding of confidential letters and reports into patient records

Deal with enquiries from patients and outside agencies

Provide assistance to the clinical team regarding correspondence, reports and enquiries

Provide cover for absence of colleagues to maintain safe staffing levels

To work as a member of the administrative team, sharing responsibility for completing tasks and informing the team leader of any problems occurring that need further attention.

Any other reasonable tasks as requested by the Team Leaders to support the team in providing a continuing quality service for patients

Completing Referrals, Chase Clinic Letters and Appointments, Advice and Guidance Requests, General Communication to Patients / Healthcare Professionals

Participation and completion of all Mandatory training (internal and external courses)

Undertake other duties as may reasonably be required

Coding and booking appointments where required and following protocol

Dealing with confidential safeguarding documents

Competent handling of daily tasks into the admin inbox from both internal and external sources

Phoning and speaking with patients to book appointments etc.

Essential skills and qualifications:
**Qualifications**:
GCSE (or equivalent) in English and Maths

**Skills**:

- Ability to work on own initiatives and accept changes in work protocols
- System One Knowledge
- Good knowledge of medical terminology
- Effective organisational and communication skills
- Determination to deliver accurate and timely information and problem solve as necessary
- Excellent customer service skills and the ability to put the needs of patients first
- Computer literacy, including a working knowledge of relevant programmes such as Word and Excel at intermediate level
- The ability to function well in a team to provide effective administrative support.
