**DEPUTY CLERK, WEST MIDLANDS LIEUTENANCY (full time)**

**JOB SPECIFICATION**

**T**o assist the Clerk with managing the West Midlands Lieutenancy on behalf of the Lord-Lieutenant.

Duties include:

- Maintenance of the Lieutenancy website
- Operation of Lieutenancy social networking media sites, currently Facebook, Twitter and Instagram
- When required, co-ordinate visits by members of the Royal family
- Produce congratulatory letters on behalf of the Lord-Lieutenant to the West Midlands recipients of Honours, organisations receiving King’s Awards
- Maintain statistics for numbers of individual honours and King’s Awards
- Co-ordinate the annual British Empire Medal Investiture event
- Arrange and co-ordinate King’s Award for Enterprise presentations and brief Lord-Lieutenant on organisation
- Support the King’s Award for Enterprise promotion and attend Lieutenancy meetings
- Co-ordinate the annual King’s Award for Voluntary Service presentation
- Support the King’s Award for Voluntary Service promotion, support assessment process and submit assessments on line
- Attend King’s Award for Voluntary Service Lieutenancy meetings
- Co-ordinate the annual Deputy Lieutenants’ dinner
- Attend Marketing and Communications meetings
- Collate and submit Royal Garden Party nominations annually
- Maintain contact details of Civic dignitaries and High Sheriffs and accurate details of all Deputy Lieutenants and Lord-Lieutenant’s Cadets
- Provide background information and statistical data to the Lord-lieutenant when required
- To deputise for the Clerk when the Clerk is absent or unavailable
- Occasionally work additional hours due to events in the evening and at weekends
- Undertake such other duties commensurate with the level and scope of the post as may be required from time to time

**Miscellaneous Administrative Duties**
- The post holder will be computer literate with a good working knowledge of Microsoft Office including Word, Excel and PowerPoint
- Knowledge of social media platforms and post creation
- To act as joint key holder for the Lieutenancy office

**PERSON SPECIFICATION**

As part of the Lieutenancy team reporting to the Clerk, the post holder will support the work of HM Lord-Lieutenant of West Midlands and his Deputy Lieutenants. The post holder will work predominantly under their own initiative, with a high level of autonomy, accountability and expertise that recognises when line management support is appropriate.

**Education and knowledge**

1. Management or business qualification to NVQ4 or equivalent work based experience

2. Knowledge of and understanding of the role of the Lieutenancy

3. Sound geographic knowledge of the County of West Midlands

**Experience**

1. Experience of providing executive support at a senior level

2. Experience of carrying out tasks with mínimal supervision

3. Previous experience of working with a wide range of senior stakeholders

4. Able to utilise information technology and social media platforms

**Salary**: £29,000.00-£32,000.00 per year

Schedule:

- Monday to Friday
- Overtime
- Weekend availability

- Birmingham, B2 5TB: reliably commute or plan to relocate before starting work (required)
