1. Administer patient referrals making appropriate use of information technology, being aware of waiting lists and appointment bookings.

2. Take lead responsibility for the scanning of clinical data onto patient’s medical record in line with current scanning procedure, co-ordinating workload accordingly.

3. Ensure completed clinical data is entered into the clinical system in a timely manner ensuring compliance with Read code standards and undertaking actions required by the clinical team.

4. Develop standards for note summarising of medical records comply with standards for timely data entry and provide data quality and referral verification audits.

5. Respond to all queries and requests for assistance from patients, visitors, and other customers

6. Receive and make telephone calls as required. Divert calls and take messages as appropriate. Ensure that all messages are taken in line with current practice policy.

7. To ensure private and non-NHS work undertaken by the practice team is effectively charged for, undertaken in line with practice procedure and ensure income received is dealt with in line with practice financial instruction.

8. To provide robust mechanisms for the Access and PMAR requests ensuring compliance with Access to Health Records Act and appropriate invoicing for work carried out.

9. Analysing workloads and implementing alternative systems of work to accommodate increasing and changing demands of the practice.

10. To act as lead co-ordinator for the maintenance of the practice web-site and compliance with external standards

11. To utilise Aristotle software to interrogate practice data providing reports where appropriate

12. To support management team in the development of practice recalls for QoF, Quality Contract.

**General Duties**

1. Assist the Practice in the ongoing development and implementation of NHS Policy and local strategies.

2. Advise patients of relevant charges for services, accept payment and issue receipts for same complying with standard financial procedure

3. To understand and comply with Practice Safe-guarding Procedure undertaking and supporting the policy and maintaining relevant training standard required.

4. To undertake Chaperoning as required by the clinical team in line with current protocol.

5. To deal with and ensure appropriate actions are undertaken with mail from outside the organisation for all parties in a timely manner.

6. To keep adequate records of all practice referrals by provider and speciality for each doctor for collation and use in the reporting system including miscellaneous and private referrals when required

7. Deal with complaints from patients in line with the NHS Practice Complaints Procedure and ensure that the Management team is updated in a timely manner.

8. Organisation and co-ordination of a range of practice meetings as directed by the management team ensuring submission of appropriate documentation for monitoring where appropriate.

9. Support management team in arrangement of practice training sessions, liaising with external providers, co-ordinating certificates and updating of practice training log.

10. To ensure thorough understanding of practice appointment system and comply with standard procedure for general medical services

11. To support the continuous improvement of the practice administrative service, this may involve contributing to regular reviews of systems and processes and introducing new ways of working.

12. Any other duties as required from time to time in line with the needs of the practice.

13. Ensure a thorough knowledge of practice procedures and systems to ensure the administrative service is delivered to a high standard.
