Medical Telephonists work as part of the reception team, after a period of training, are expected to have a range of core skills and work within HMG service delivery KPI’s.

**Core Skills**:
Ensure effective and efficient service is provided to patients and other visitors accessing the practice.

**General**:

- To have a thorough knowledge of all Practice procedures.
- To work in accordance of written protocols.
- To keep up to date with changes within the practice to process.
- Attend reception meetings.
- Care navigate patients to the correct service for their needs.
- Deal with all general enquiries; explain procedures and use the computer system to make new and follow-up appointments.
- Signpost patients and professionals to the correct team within HMG.

**Telephone**:

- Care Navigation of patient enquiries to the appropriate clinician/organisation.
- Making appointments by telephone, handling requests for home visits and taking messages.
- Dealing with requests for test results; being aware of the rules of confidentiality.
- Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
- Undertake any other additional duties appropriate to the post as requested by the Supervisor, Senior Management Team or Partners.
- Ability to use initiative to help patients within practice policy.
- Demonstrate and work within HMG Patient Service values.

**Online forms**:

- Care Navigation of online forms received from patients to the appropriate clinician/organisation
- Contacting patients via telephone, text or letter as appropriate

**Care Navigation**

Being able to appropriately sign post patients to the most appropriate clinician or service by the use of a defined template.
- Ability to use predefined care navigation template to ask patients questions about their need for an appointment and recording accurately into the template.
- Ability to identify which patients need a GP appointment, nurse appointment, physiotherapy triage etc. and which can be dealt with administratively, following a clear documented protocol. E.g. patients needing a sick note
- Proactively using prompts to engage patients in conversation to book health needs is: smear test due, baby imms.
- Using AccuRX texting system to send links to patients as per practice protocols.
- Maintaining up to date knowledge of care navigation links and booking appropriate appointments using F12 tool.

**Reception duties may be required to meet practice needs in agreement with Reception Supervisor**:

- Receiving patients and booking appointments at the Reception Counter.
- Monitoring the waiting room and guiding patients to rooms.
- Inform patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
- Ensure those patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
- Ensure courier takes all documentation and samples at the appropriate time.

**Other Administration may be required to meet practice needs**:

- Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.

Part-time hours: 16-37.5 per week

**Salary**: £20,519.54-£21,763.17 per year
