To support client led projects with Admin support, either through the CRM or hard files.
To work with the team to create, produce and promote good news stories throughout our multi-level digital media to encourage new and consistent engagement.
To be the welcoming first point of contact for service users, professionals and visitors entering the youth enquiry service. To ensure the smooth running of Front of house. To provide accurate and useful information to service users and professionals including signposting. To provide administration support for all the team as and when required.
To report to CEO and Fundraising and Community engagement Co-Ordinator.
**Job context**
Colchester & Tendring Youth Enquiry Service is a charity which supports young people between the ages of 11 and 25 in the Colchester & Tendring areas. The service offers advice on housing and homelessness prevention, teenage pregnancy and young parent support, counselling and mentoring support project. YES has been operating since 1988. The charity headquarters are in Trinity Street, Colchester with the additional office in Tendring.
**Tasks**
To keep up to date and work with lamp light to ensure all changes and new projects have relevant forms that can support the charity in growing and securing funding.
To extract reports from the CRM when needed.
To support client lead projects with assistance with all aspects of admit, this could be helping set up and supporting a filing system, all forms are up to date and any form or packs are printed and readily accessible for anyone who needs them.
To ensure that at the end of the day the building is clear and set up for the following days requirements and on departure that all rooms are checked and the building is secure.
Create and manage a stock inventory system for items and products required e.g. Paper, tea, coffee and check and replenish on a regular basis.
Oversee the diary/room booking system in used correctly and not double booked and required information input in case of DNR or absence.
Complete YES induction course and integrate policies and procedures into daily working practice.
To organise and facilitate staff training.
To complete Fire risk assessments and health and safety audits alongside the CEO
Maintain and update displays across the communal areas.
Direct clients to the appropriate waiting areas for the service they require within the building.
Greet all service users, professionals, and visitors in a welcoming and professional manner.
To attend and minute the staff meetings monthly where possible including creating and sending the agenda prior to the staff meeting.
To open and process post as required and sent out in a timely manner.
To always work within the policies and principles of ‘information sharing’ in line with GDPR. To work within the policies and principles of best practice, child protection, safeguarding and the lone worker policy.
To attend quarterly supervisory meetings with the management. To support the recruitment of new staff, volunteers and board members with administrative support. To train and continue to be a Y.E.S. Fire Marshall.
1 part time permanent roles
Monday to Friday 2pm -6pm
Salary £20,475 Pro Rata
Holiday 28 days Pro Rata = 22.4 hours
