Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as a Confidential Secretary who will be responsible for assisting the Lead Consultant at a Boutique Consultancy. As a Confidential Secretary, you will play a crucial role in providing administrative support and ensuring the smooth operation of our office. This is a part-time in-person position with regular office hours that can be tailored to the need of the successful individual. Working from home will be available on an ad hoc basis however is not desired.
**Responsibilities**:
- Following dictated instructions.
- Taking minutes.
- Transcribing documents.
- Managing the Lead Consultants diary.
- Making travel arrangements.
- Preparing contracts.
- Preparing confidential reports.
- Researching companies and issues.
- Assisting in creating surveys, including for Board Evaluation reports.
- Creating PPT presentations.
- Co-facilitation on virtual workshops.
- Taking phone calls.
- Meeting and greeting of clients at the Executive Off-site facility.
- Managing and co-ordinating external contractors during off-site events at the facility.
- Invoicing clients and undertaking payment follow-up.
- Liaison with accountancy.
- Ensuring physical security of files and documents.
Qualifications:
- Proven experience in an administrative or secretarial role (preferred).
- Proficient in using office equipment such as printers, scanners, and photocopiers.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent written and verbal communication skills.
- Fast and accurate typing skills.
- Familiarity with basic bookkeeping and invoicing principles is a plus.
- Exceptional attention to detail and accuracy in work.
- Professional phone etiquette and interpersonal skills.
- Confidentiality.
