Milestone Infrastructure is currently looking to recruit a Bid Coordinator who can enable the business to submit PQQ’s/SQ’s, tenders, related documents, and presentation material on time and to a consistently high standard throughout all stages of the bidding process. Maintain, develop, and make available standard information used for PQQs and quality bids. Actively share best practice and lessons learned to drive excellence within Milestone.
**As a Bid Coordinator your duties & responsibilities will be**:
- Work with bid leads to agree and implement an execution plan with clear milestones and deadlines to deliver high-quality documents for electronic uploading and/or printing, including folders, dividers, slip cases and executive summaries as well as presentation materials.
- Maintain both internal and external documentation throughout the bid period, including managing client information and feedback via web portals, uploading tender queries, and distributing tender amendments and query responses as required. Monitor opportunities portals, make enquiries and circulate details as required
- Support bid lead in coordinating the bid process and ensure compliance as required. Undertake administrative duties such as organising sessions and meetings for the bid team.
- Work with writers and graphic designers to ensure documents are clearly laid out, well-structured and consistent and that key messages are notable. Work with graphic designer to implement design brief/templates and liaise with external print agencies, photographers, and animators, as required.
- Undertake formatting, printing, collating and distribution of hard copy submissions, and/or uploading of electronic responses
- Manage and collate submissions information, such as case studies, CVs and project information, and conduct research from a wide range of sources. Contribute to updates and continual improvement of the submission’s library
- Share knowledge and best practice across the business. Contribute to reviews and lessons learnt meetings, as well as sharing debrief information to avoid any mistakes are repeated
**Skills & Knowledge Requirements**
- Excellent organisational and coordination skills - experience from a similar role
- Excellent communication skills - verbal and in writing
- Proficient in Microsoft Office 365 suite with excellent typography and document formatting skills
- Attention to detail and an aptitude for editing and proof reading
- Adobe InDesign skills desired
- Degree-level education in a relevant discipline, is advantageous
- Understanding / experience of the construction industry is advantageous
