The starting salary for this role will usually be at the bottom of the salary range and will be pro-rata if the working hours are less than full time.

The Role

This is an exciting opportunity to joint the Sussex events, rewards and recognition team in the coordinator role, directly reporting to the events lead and working within the Sussex Chief Officer department.

The role requires exceptional attention to detail, in order to coordinate, facilitate and host all award and presentations in accordance with guidelines to enable recognition and achievements by Sussex Police Officers, Police Staff, Special Constables, Volunteers and members of the public.

You will be tasked directly by the events lead, and be one of the main liaisons for all events/awards
You will need to work to a high standard, and process information accurately and quickly, at times working independently with little or no direction.
You will be directly representing the Chief Constable and Chief Officers
You will act as point of contact as required
- The post holder must have an understanding of working with both VIPs and dignitaries, ensuring we suitably observe protocol and host correctly at all events.

Evidence and experience in managing external suppliers/providers is required

Key Responsibilities

Responsible for the administrative processes for all internal and external ceremonies and events
Following authorisation of eligibility from the relevant departments fulfil the admin process for the Police Long Service and Good Conduct & Police Staff Long Service Awards, Special Constable service awards, and other force events
Work closely with recipients/nominators of awards to create accurate and meaningful citations for approval, liaising with nominees/supervisors with regard to content, and proof reading prior to submission
Carrying out the administration in relation to the nominations and submissions for all internal and external awards; for example Royal Humane Society, Police Public Bravery Awards Collate nominations for Honours Committee meetings, prepare papers and follow-up on actions after the meeting Prepare for all events/award ceremonies in the yearly calendar
Act as front of house host and attend the events/ceremonies as required to ensure a successful outcome for everyone involved in ceremonies
Manage and maintain a timely and accurate database for awards that are under the jurisdiction of the department
Research items for procurement, within budgetary confines issued by Awards & Ceremonies Lead Issuing of 10 year pins, including management of Specials 3/6/12/15 pins currently being planned to be introduced, and all related records
To carry out any other tasks as reasonably requested in the course of this role

Skills & Experience

Has proven and well-evidenced experience in general administrative and office duties. Strong organisational skills with the ability to manage competing priorities.
Excellent interpersonal and communication skills with the ability to deal with people at all levels, both within the organisation, with outside agencies and VIPs.
Excellent verbal, written and presentation skills, with particular reference to grammar, spelling and attention to detail.
Ability to produce high quality, accurate work to tight deadlines.
Ability to work independently and use initiative.
Ability to appropriately handle sensitive information maintaining its integrity.
Flexibility with working hours as events can be held out of usual office hours.
Travel - the postholder will be required when necessary to travel across the counties of Surrey and Sussex Vetting - the postholder will be required to pass and maintain Sussex Police vetting at the appropriate level
