An opportunity has arisen, from end January 2024, for a part time Receptionist at Witham Court, working 16 hours per week on a Monday and a Tuesday to cover maternity leave. There is also an expectation to cover the other Receptionists when they are on leave or sick.

All Reception staff share this cover, so it is not down to just one of them.

Working hours are 8:30am - 5:00pm each day. It is a Band 2 Fixed Term Post for 12 Months to cover Maternity Leave.

We are looking for a motivated, adaptable, flexible and enthusiastic individual, with a positive can do attitude to become part of our friendly and supportive team. We are seeking someone who wants to make a difference, who will put the Trust Values at the core of their role.

You will need to possess excellent communication skills and have experience of working in a Reception. This will also include being able to work independently using your initiative when required.

**Main duties consist of**:
Taking and transferring calls

Working with Teams Messaging.

Dealing with internal and external post.

Booking rooms for staff.

Dealing with Contractors and Visitors to the Building.

Dealing with Pharmacy deliveries and collections along with Blood and other samples to Pathology.

Photocopying and laminating.

Dealing with patients attending for an appointment.

Securing the Reception area and Out-patient waiting area on an evening.

To provide a welcoming and professional reception to the service and to ensure both telephone and personal enquiries are dealt with in a polite, confidential and efficient manner.

To provide a full and efficient clerical service to the clinical staff and admin team including dealing with incoming mail.

To respond to queries and incoming calls on a daily basis, which may be non-routine and can sometimes involve information of emotional and distressing circumstances, ensuring prompt attention in a professional and sensitive manner, assessing situations and seeking further information/support
where required.

To ensure patient and staff confidentiality is maintained at all times adhering to Trust and national policy.

To manage workload under supervision, seeking advice when required, performing routine office procedures. The routine office procedures to include the opening and distribution of correspondence, dealing with outgoing post, photocopying, filing and faxing in accordance with current
trust procedures.

To participate in Supervision and appraisal in line with Trust policy.

To ensure all work is undertaken in line with Trust and national policy.

To recognise the need for flexibility and be willing to undertake extra duties as and when required that are commensurate with the grade and responsibilities of the post including providing cover for other admin staff within the service, across the county.

To participate in the provision of an extended hour’s service.
