**Key responsibilities**
***:

- Provide proactive administrative support to the Group Chief Executive in terms of meeting acceptances, diary management ensuring no double bookings, organising meetings, travel, expenses
- As and when required provide administrative support to all members of the Executive Team or wider team in terms of meeting requests, travel arrangements, hotel bookings etc.
- Organise travel, hotel reservations and booking places for members of the Executive team, for conferences, provide itineraries as needed
- Organise and minute internal and external meetings for Director’s meetings and Managers Meetings functions as required
- Deliver effective secretariat service where required for any SEIB Board meetings including preparation of agenda, collation of all relevant material, board reports, minutes, matters arising and monitoring and expediting agreed actions. Booking meeting rooms, organising catering
- Organise department meetings - preparing the agenda, collating the presentation, organising speakers etc.
- Organise ad-hoc meetings of external visitors, ensuring they are registered with reception, allocating parking spaces, rooms are booked and catering is ordered
- Maintain departmental documents such as Business Continuity plans, organisation charts and maintain the centralised document suite
- Ambassador for the Group Executive of internal and external stakeholders
- Prepare reports, presentations, proof read company documents and set templates for Executives to adopt
- Manage the booking of Car Hire through Enterprise for business users
- Ordering of Stationery, furniture, refreshment supplies
- Facilities management of contractors, franking machine, cleaners, gardeners, alarm monitoring company
- Health & Safety Officer responsibilities reporting in to the Group H&S function

**Knowledge, skills and experience**
***:

- Previous experience in a similar role
- Open, Honest and trustworthy disposition, this is a key role within our Executive team
- Ability to maintain confidentiality at all times
- Self-starter, able to manage own workload
- High level of personal organisation and accuracy
- Positive, enthusiastic and pro-active attitude
- Strong communication and influencing skills
- Proven track record of strong relationship management with senior executives and key external stakeholders
- Ability to minute highly technical and wide-ranging topics
- Quick thinker who can solutionise problems
- Appropriate IT skills, including Excel, Word and PowerPoint
- Works well within a team and across business operations
- Reside within a reasonable commute to our offices in South Ockendon, and be willing to travel to other offices if required.
