**The role**
Reporting to the Group Vehicle Office Manager, the Group Vehicle Administrator is responsible for the day to day administrative support and associated tasks for the Group Vehicle Team.
The Group Vehicle Administrator plays a vital role in delivering a smooth and organised service, which underpins and facilitates all activity of the department.
This permanent role is based upon 40hrs per week between Monday and Friday, which after a successful training and induction period will operate on a hybrid basis to include at least 3 days per week based onsite at our Letchworth central offices.
**Key accountabilities**
- Maintain the administration and update of database for all aspects of Commercial vehicles and Company cars.
- Adhere with all current legislation and Company policies and procedures.
- Manage vehicle maintenance and approval and authorisation of works.
- Complete monthly reports ensuring accurate data and maintaining up to date distribution.
- Collate data for financial consolidation through systems, ensuring accuracy and compliance with accountancy requirements.
- Keep fuel administration up to date on database, compiling reports and investigating any anomalies.
- Ensure toll accounts are kept up to date and regularly audited.
- Complete driving licence checks and updating databases as required
- Extract data from external reports and updating the database.
- Ensure O-Licence regulations are maintained.
- Process all aspects of new vehicles into the group and selling old vehicles from the group
- Assist and implement necessary changes to improve the database system and evolve the Group Vehicle Department processes and procedures.
- Filer paperwork in a timely and orderly manner.
- Assist department colleagues with other administration i.e. Road Fund Licence, motor offences, accidents etc. when required.
- Complete any ad-hoc tasks allocated by the Group Vehicle Office Manager when required.
**Skills & experience**
- Previous experience of a busy, deadline driven environment, ideally in the Transport industry.
- Strong administrative background with excellent organisational and time management capabilities
- Exceptional customer service skills alongside strong written and verbal communication skills
- Possess a logical and analytical approach, with excellent attention to detail and a good level of numeracy and IT skills
- Sound understanding of compliance when handling legal, confidential and business sensitive documents and data
- Capacity to cope with quickly changing requirements, with the ability to work calmly under pressure when dealing with competing priorities
- Team orientated with a strong sense of responsibility and integrity
- Good interpersonal skills, with the ability to and build trust and positive relationships at all levels
