We are currently seeking to appoint an Assistant Registrar to lead the data and submission side of Registry, with OFS, HESA, etc

**Job Purpose**:
The Assistant Registrar has an important leadership and management role within Registry with significant responsibility for supporting the Senior Registrar: Records and Fees across a range of operations including service planning, leadership and management of staff within the Academic Records Team, management of academic records, development and review of academic records and enrolment policies and procedures, and delivery of training and briefing sessions to staff across the school in matters relating to academic records and enrolment of students. Additionally, to ensure key priorities in the academic cycle are met and managed successfully and professionally and to deliver a high quality student experience.

**You will be assisting the registrar in following responsibilities**:

- To manage and develop the work carried out by the registry team, making effective use of time and resources to meet the school responsibilities.
- To be responsible for creating termly timetable for students
- To manage all school student records and timetabling systems, working with internal customers, university partners and external regulators.
- Maintaining accurate student record files (both physical and electronic) in the filing cabinets and on Student Management System (SMS)
- To effectively manage the school academic calendar.
- Oversight of timely and accurate administering and day to day processing of all incoming student record information, undertaking active data quality verification exercises and running various routines to calculate and update data
- To maintain and develop the school student & curriculum records and timetabling operational documentation, policies, and procedures in accordance with approved changes and in line with external benchmarks, and to disseminate information to relevant university partners
- To have operational oversight of student funding and Registry student support functions, keeping abreast of SLC requirements and university procedures, liaising with local authorities re. council tax exemption, ensuring timely data set up, exchange and reporting with SLC, along with a high-quality service to students
- Assisting registrar with statutory returns (including HESA, HESES & other OfS requirements), ensuring that these are delivered in a timely, accurate manner
- To conduct staff induction and training according to school policies and procedures, relating to systems, Registry student support functions, across the immediate team, Academic Services and the wider school, ensuring any training needs are identified, followed and supported by appropriate materials, taking note of internal and external developments in policy.
- To attend University and external meetings, as appropriate, to ensure areas of responsibility are represented and reported.
- To make a general contribution to the running of the wider school services, including the support to be provided by the Student Records, Operations and Returns team to other teams at peak periods
**Skills and Experience**:

- Related work experience in a tertiary educational setting
- Have some experience in a minimum of three of the following areas: Admissions, Student Registration, Student Records, Graduation, Student Support or Institutional Research
- A high level of proficiency in the use and management of student record information systems; preference will be given to those who have worked with the similar student management system
- Working knowledge of statistics
- Strong organizational, analytical and problem-solving skills
- A high level of professionalism and ability to maintain confidentiality
- A high degree of computer literacy
- Highly developed organizational, communication and presentation skills
- Strong management or leadership skills as exhibited by experience in effectively leading a team
- Good Microsoft office skills specially MS Excel
