Job Summary (continued) To be responsible for the maintenance of the appointment system. Ensuring the appointments for each clinician are entered correctly and in an appropriate timeframe. Responsible for logging problems with the computer system. Ensure that reception/clinical workflow is up to date and to inform Practice/Office manager of any shortfalls: - Facilitate the process of repeat prescriptions requests daily, ensuring a 48hr turnaround Preparation and submission of data and documentation as required to relevant bodies in a timely manner.
Facilitate the responsibility for the daily task of completing all GP Links data, input and uploads. (Patient data and EDI). Collection of Medical records. Summarising of medical records.
Ensuring completion. Facilitate the responsibility of arranging post-natal appointments within the correct time frame and childhood immunisations (inclusive of upload). Ensuring completion. Facilitate and delegate requests for medical reports and copies of medical records from outside agencies in line with the procedure put in place.
Ensuring 28 day timeframe is adhered too. Occasionally scanning medical information into patient’s records and entering medical data using the method of READ coding ensuring no back log. Ensure tasks from clinicians to receptionists/admin are completed. Sorting of incoming post and distribution as appropriate.
Maintain the petty cash log and check receipts. Ensuring the good housekeeping is observed within the offices and clinical rooms, and with special reference to health and safety/infection control. To maintain and purchase stocks of office supplies in accordance with HR policy. Any other supplies that need ordering from PCSE.
Hold reception meetings to motivate staff. Confidentiality of both patients and the Practice must be protected and maintained in accordance with Practice Policy and legislation. To undertake any other duties which are commensurate with the level and responsibility of this post as requested by the Practice/Office Manager. To actively and continuously review all activities and suggest areas for Practice improvement.
