**Location**:London

**Rate of pay**: £26,500 per annum

**Working pattern**: Flexible - 40 hours over 4 days 8am-6pm, with one Friday a month

Client services
- To prepare meeting rooms and check them before and after meetings.
- to liaise with external clients and visitors in a warm and courteous manner when needed.
- To complete meeting room checks and report any cleaning, maintenance & AV issues to the Reception manager.
- To look after external visitors and provide refreshments in the client lounge on arrival.
- To develop and evolve all client services of the hospitality department, ensuring regular adjustments and improvements are both recommended and implemented.
- To manage ad-hoc events when required.
- To support reception area in absence of reception manager.

Catering service
- To be responsible for all aspects of catering procurement, including stock take, and placing food, beverage and suppliers on a timely basis.
- To ensure the security of stock, consumables, crockery, cutlery and other goods of potential loss and all goods are ordered in good time to facilitate the services.
- To organise, serve and clear corporate hospitality lunches, beverages and evening events in accordance with standards set by Vacherin and your line manager. Oversee any relief staff and ensure they are fully briefed on their tasks/events for the day.
- To work in conjunction with the Reception Manager on preparing hospitality events and corporate meetings
- To manage all corporate catering set ups
- To monitor quality of coffee provided in the meeting rooms.
- Regular checks, cleaning and maintenance of coffee machines.

Reception services
- When supporting reception to ensure that visitor arrivals are communicated to the relevant people promptly and that the visitor is either met or escorted to the relevant room/area in a timely fashion.
- Liaise with PAs and Co-Ordinators with the support of all meeting room bookings.
- Identify and highlight any meeting room conflicts and manage the operational process for booking the meeting rooms.
- Operational knowledge of all reception services and standard operating procedures. (inc. guests’ registration, pass updates, booking tool knowledge)
- When supporting reception to ensure that waiting visitors are kept informed of any delays and progress and to ensure they are comfortable.
- When supporting reception ensure that the entry desk premises are always kept tidy and clean. Ensure the maintenance of the front office, entrance foyer, staff area and managed rooms.
- To complete ad hoc admin duties when the operation allows.
