**JOB DESCRIPTION**

**Overview**

Reporting to the Senior Depute Rector, we are looking to appoint a motivated and enthusiastic Admissions Registrar on a full-time, permanent basis who will be responsible for the day-to-day management of the Admissions process for the Primary and Secondary Schools and who thrives on delivering an exceptional and engaging experience to prospective parents, pupils and their families from the initial point of contact through to student arrival and beyond.

Main

**Responsibilities**:

- Plan, organise and welcome families into the school for visits/tours.
- Be part of the team arranging Open Morning and work closely with Marketing Department to enhance the visitor experience and promote the school.
- Ensure all communications and interactions with prospective families are met with a friendly, professional and personal approach
- Attend Open Mornings/Open Doors events at Primary and Secondary School
- Attend New Parents’ Evenings in May/June
- Liaise with Heads of House for new entrants
- End of year processes; request pupil files, make up new pupil files, move files forward in base for the new session. Remove leavers and S6 year group (empty files and have ready for scanning )
- Engage with Trust Office for Leavers and Joiners as well as SLT and House staff - and the Cash Office

Pupil Assessments (Held each year in January)
- Liaise with the Bursar and his PA.
- Liaise with Admissions Administrator to organise SLT interviews and to request school reports from current schools
- Following Open Morning events and visits, communicate information for entrance assessment day and answer bursary enquiries
- Liaise with Support for Learning Department for additional arrangements for assessments
- Liaise with English and Maths Departments for sample papers as required
- Liaise with the Primary School Secretary and SLT for Primary admissions, visits and then assessments.

Experience and Knowledge
- Previous experience of working in a school environment (desirable).

Abilities, Skills and Attributes
- Be well presented with a professional and personable manner towards potential parents, in person and via all forms of communication.
- The importance of understanding the independent sector and being able to explain the benefits of an independent education and all we can offer.
- Excellent communication skills (written and verbal) and listening skills both on the telephone and in person with a focus on excellent customer service
- Proficiency in MS Office (Word, Excel, Outlook, Powerpoint) database packages and internet systems.
- A team player with a pro-active/can do approach to tasks and problem solving.
- Promote the ethos of Hutchesons’ and share information with prospective families
- Excellent time-management and organisational skills with the ability to multi-task and manage own workload efficiently.
- Excellent administrative skills with attention to detail and the ability to use initiative and prioritise workload.
- Experience of working in a fast-paced environment, ideally a school.
