**Main purpose of the role**

To effectively support the Estate Agency and Partnership Directors by providing a broad
range of highly effective administrative duties within a challenging environment.
To assist the Estate Agency Directors and Partnership Director to make best use of their
time by dealing with administrative tasks across a range of administrative activities whilst
delivering exceptional customer service as outlined by policies and procedures, upholding
the company’s brand values and core beliefs at all times.

**Key Responsibilities**

Whilst not exhaustive, this will include:

- Ensuring EAD and PD have completed their weekly or monthly 1-1 form and submitted this to the CMD/CMD PA by the
required deadline. Weekly forms by 10.00am every Monday, 1-1 forms 24 hours prior to meeting
- Arrange 1-1 meetings for the EAD’s and PD with Branch Managers and Partners. To be held on a regular monthly basis.
Collate completed forms and chase actions. Log as required.
- Arrange Branch Manager meetings and Partner meetings for the EAD’s and PD.
- Ensure a Vacancy Request form is completed and submitted to CMD PA for any new Chapter vacancies or role changes
- Ensure Payroll deadlines are met for monthly PRB and Referral claims
- Collate monthly Exchange Prediction sheets for EAD and provide copies to CMD PA and Kelly Latina
- Ensure branch Fire Safety Checks have been carried out and forms submitted to H&S Officer
- Ensure offices are aware of any updates or changes to policies and processes
- Preparation and issuing of regional leagues tables as required
- Execution and collation of competitions as agreed by EAD’s and PD’s
- Preparation and issuing of regional newsletter as required
- Travel arrangements and accommodation where required
- Preparation of presentations where required
- Preparation and collation of any EAD performance stats
- Reviewing social media production and content accounts
- Authorisation of Area Partner and Branch Manager holidays on HR Unity in line with each EAD guidelines
- Collation of staff expenses for EAD/PD authorisation and submission to relevant department
- Collation of invoices for EAD/PD authorisation and submission to the relevant department
- Ensure Rosie change requests are actioned by the EAD
- A go to person for the CMD PA
- Any other administrative duties reasonably required and as directed by the CMD PA and or the EAD/PD

**Key Skills and Experience**

Essential:
Proven track record of providing highly effective administrative duties at middle management level. Efficient, self motivated
and highly organised with the ability to remain confidential at all times. Works well under pressure and can meet deadlines.
Well presented, well spoken with proven communication skills, both verbal and written. Must be computer literate in
Microsoft products and have the ability to use internal systems. A flexible approach to working hours may be required.
Eligibility to work in the UK and hold a full and valid driving licence (preferable clean)

Desirable:
Previous experience of working in an administration role within a fast paced Sales environment preferably within Lettings or
Estate Agency.
