Operations Administrator/receptionist

As our Operations Administrator/Receptionist, you will manage the front of house security office/reception and support the security team, which includes the Security Management and Supervisors.
You will be responsible for the day-to-day security administration and front of house reception. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely adept at solving problems, have excellent customer service and communication skills and have the relevant experience.
The role will be based at The University of Lincoln and will initially cover 2-3 days per week plus holiday & sickness cover.
**Responsibilities of our Operations Administrator/Receptionist**:
- Be responsible for running a front of house Security reception.
- Dealing with members of staff, students and contractors and associated paperwork such as Permits-to-work etc.
- Filing and retrieving records, documents, and reports.
- Issuing keys and access cards
- Researching and collecting data to prepare documents for review and presentation meetings.
- Screening incoming phone calls.
- Coordinate sensitive issues upon request of the Security Manager and Security Supervisor.
- Maintain a strong working relationship with other relevant departments and client sites.
- Play an active role to support, plan and coordinate various projects within the Security Team.
- Contribute to the achievement of the Operations KPI targets through the production of high-quality information.
- Liaising and responding with external agencies on a regular basis, where appropriate to ensure deadlines are met and information is produced and shared to the highest quality.
- Contribute to the development of innovative new ways of working for the Security team.
- Assisting and dealing with complaints.
- Any other duties as required by the Security Manager and Security Supervisor.
**What we’re looking for in our Operations Administrator/Receptionist**
- English and Maths to GCSE level or equivalent
- Proven experience of customer service and administrative support.
- Able to demonstrate experience in the production of a high-quality professional standard of work.
- Experience and knowledge of working in a highly confidential environment.
- Excellent verbal and written communication skills
- Excellent planning, organisation and prioritising skills and the ability to meet deadlines.
- Ability to work on own initiative and as part of a larger team.
- Excellent IT skills
- High accuracy and attention to detail
- Ability to work flexibly.
- Remain calm under pressure.
- Demonstrate abilities to manage multiple complex and conflicting priorities.
The role is constantly under review but would entail an 8-10-hour shift. You will not require an SIA licence for this role however, some security experience would be beneficial, and you must be willing to undertake further training courses as required.
