**Job Summary**:
The main responsibility of the Preparation Administrator is to liaise with various departments within the Vehicle Preparation Centre. You will be ensuring the smooth and efficient flow of production throughout the workshop at all times, planning incoming work, assisting each area to optimise its workflow so that jobs are ultimately managed and progressed to completion in a timely and efficient manner.

**What you will be doing**:

- Support Controllers with distribution of work to the correct departments
- Work with Yard Management adding repair lines for Health checks completed under correct department etc
- Manage central WIP updating any overage vehicle on the report, with comments identifying the hold ups and sticking points of the refurb and highlighting to Controllers and Management
- Manage all dealer & offsite movements and bookings. This is to include communicating on a daily basis, updating the progress of the vehicle, keeping accurate records of vehicles locations & liaising with accounts to ensure prompt payment and release of the vehicles once complete if needed
- Check the vehicles that are outstanding assessment, against the SLA's set by Vendors, to ensure that no vehicles are falling outside the time to charge back where required.
- Manage the outstanding recalls/MOT's, both production and in storage
- Review mileage discrepancies, following up with on site logistics so they can ascertain correct mileage and update
- Work with inventory to ensure that all vehicles imaged are published, and that no vehicle published is still in a production state.
- All vehicles that are flagged for rejection, must be added to the correct sheet depending on purchase source. Daily checks must be made to ascertain if the vehicle can be worked, or if the vehicle needs to be completed and flipped to Wholesale.
- Holiday Cover - managing time and attendance reporting and payroll during holiday cover for Optimisation Administrator
- Holiday Cover - ensure all new starters and leavers have been processed
- Creating and maintaining professional relationships with all site team members.
- Liaising with the compound department to control vehicle movement into relevant areas.
- Maintain a tidy and professional working environment, with a special emphasis on Health & Safety.

**Key Skills Required**:

- Experience of working in a Motor Workshop environment.
- Excellent Communication Skills.
- Ability to work as Part of a Team.
- Adaptable to change and a high degree of flexibility.
- Problem solving with the ability to look at a range of options.
- Familiar with working with technology e.g tablets, smart phones etc.
- Proven organisational skills and ability to prioritise.
- Full driving licence required.
