**This role will be based at Healthcare Ireland Group’s brand-new Head Office located at St. Helen’s Business Park, Holywood, BT18 9HQ, but may require travel to other sites as necessary.**

- **The Role**_

The CEO is responsible for large-scale Head Office and Operations teams across multiple businesses including Construction, Property and Recruitment companies, with employee numbers currently exceeding a 2,500 head count.

Reporting to the CEO, the role of Executive Assistant is to plan, coordinate and ensure the schedule of the CEO is followed, providing a bridge for effective communications between all parties.

Due to the nature of the role, you will be exposed to a range of complex and sensitive issues and will therefore, need to act with discretion and confidentiality, maintaining a logical document management system.

**You will**:

- Need a minimum of 5 years’ experience working in a similar role, collaborating with Senior Management and Director-level individuals across a cross-functional team.
- Be exceptionally organised, reflecting the ability to perform multiple tasks seamlessly, paying close attention to detail whilst meeting challenging deadlines.
- Have strong interpersonal and communication skills, building trusting relationships with staff, stakeholders and external suppliers.
- Have a demonstrable approach to solving issues requiring high-level, forward-thinking, decision-making capabilities.
- Act as the primary point of contact for the CEO, be a resourceful team-player and work on initiative.
- Support the day to day running of the office, providing the highest level of customer service in line with the expectations of the CEO.
- Have a flexible and adaptable approach is necessary to manage a competitive and evolving workload.
- Thrive when working in a fast-paced, results-driven environment.
- proficient using IT and scheduling software - intermediate to advanced level in the Microsoft Office Suite; in particular, Outlook, Power Point, Excel and Word
- **(A full and valid UK Driver’s Licence id preferable, but not essential.)**_
- **Typical responsibilities will include**:_
- Active diary management, arranging local as well as complex international travel and/ or accommodation, compiling itineraries and documents as required.
- Manage petty cash and expense accounts, carrying out personal tasks on behalf of the CEO.
- Manage social media platforms and deal with press launches in line with company policy on behalf of the CEO and the wider Management Team.
- Draft and proof-read documentation, prepare reports and presentations as well as sending more formal, branded documentation to both internal and external Stakeholders, for example, Legal, Financial and Professional bodies.
- Meeting coordination - organise and set agendas, arrange hospitality, take minutes, collate reports, carry out any follow-up actions.
- Oversee the management of projects as assigned by the CEO.

**Salary**: £24,000.00-£32,000.00 per year
