**Job Summary**:
To provide administrative support to the HR department.

**Main Responsibilities**
- Assist the Company’s Solicitor with early conciliation claims and tribunal claims including preparing bundles, dealing with queries, seeking out relevant information, notifying appropriate managers, maintaining tribunal log and coordinating witness availability;
- Work with HR Manager and Advisors to define, develop and update Company policies and procedures;
- Co-ordinate management training including attendance, preparation of course material, feedback forms and HR calendar;
- Provide management information from analysis of data such as types of disciplinary warnings given out, capability issues and time off work;
- Assist in collating and preparing reports for senior management;
- Take minutes at various management and Trade Union meetings and where necessary;
- Support HR Manager and Advisors to deliver ad-hoc projects as and when required;
- Support departments and management teams with their recruitment needs, including the selection process and induction packs for new starters, delivery of on day inductions and complying and distribution of weekly vacancy packs.
- Generate offer letters, contracts of employment and variation to terms;
- Processing reference requests;
- Manage organisation charts and telephone directory for the business;
- Manage maternity and adoption leave queries and confirmation letters;
- Dealing with departmental post including recorded mail.
- Manage debt recovery process including liaising with litigation officers, high court enforcement officers and directly with debtors;
- Manage day to day administration of the HR office, including filing, archiving, data recording, ordering and maintaining stationary stock, administration of eye care scheme;
- Weekly emergency lighting checks:

- Organisation and facilitation of meetings including providing refreshments, stationary etc.

**Essential Criteria**
- Excellent administrative skills including good working knowledge of Microsoft Word and Excel;
- Ability to adapt to changing environments;
- Able to effectively manage a demanding workload and multiple priorities;
- Flexible with regards to working extra hours as and when required;
- Experience of working within the transport industry (desirable);
- Good knowledge and experience of generalist HR issues (desirable).

**Hours of Work**:
38 hours per week, Monday to Friday
