**JOB SUMMARY**:
The position reports to the Manager of Office Services. The reception position is "front of house" for both internal and external clients, involving interaction at all levels inside and outside the office and includes switchboard duties.

**JOB RESPONSIBILITIES**:

- Perform the duties of telephonist on the main switchboard taking detailed messages and delivering in a timely manner and according to office practice and procedures;
- Maintain a presentable and tidy reception area, conference room suite and client pantry. Ensuring the reception desk is always manned and covered;
- Coordinate meeting and conference room booking requests, keeping accurate entries regarding meetings in the reception meeting calendar and arranging necessary catering where required and booking in with ground floor;
- Set up conference and meeting rooms for client or staff meetings, lunches, functions etc. providing the necessary catering facilities. Ensure all rooms are thoroughly cleared and tidy after each booking and dishwashers filled;
- Arrange all taxi, couriers, food and catering supplies for the London office during office hours following the booking/request and recording procedures;
- The receptionist may be required when business demands, to collect food orders from local suppliers and assist in maintaining an orderly kitchen;
- Promote a professional and presentable image at all times; and
- Keeping detailed lists of temporary, visitor and contractor passes issued.

**JOB SPECIFICATIONS**:
**Experience**:Previous experience as a receptionist in a US or UK law firm.

**Skills and abilities**:
***
- Excellent telephone and switchboard skills;
- Literate and numerate with good grammatical comprehension - written and verbal and good standard of both spoken and written English;
- PC literate: Excel, Word, Outlook;
- Good customer facing skills with confident and clear communication skills with people at all levels and ability to stay calm under pressure;
- Good organisational skills, ability to prioritise and multi task with good attention to detail;
- A conscientious and willing attitude to assist and work as part of a team, assisting others departments as required;
- Professionalism, tact, integrity and politeness at all times with ability to be patient and tolerant;
- Demonstrate an ability to be proactive and work on own initiative when required and able to problem solve; and
- Flexibility with a willing helpful attitude to assist others and change shifts and work extra hours to meet the business needs when required.
