To work as part of the administration team within Urology providing and efficient and timely clerical service.

To assist in the day to day functionality of the Chestnut Unit, including the booking of patients and prepping clinics.
Chronologically booking from the PTL waiting list (cancer, RTT, diagnostics), for biopsies, flexible cystoscopies,
and follow-up appointments, also tracking of BCG patients. To assist in typing of clinic and admin letters. To provide reception cover.

**Preference will be given to internal Trust staff, as well as ‘Priority’ and 'At Risk' status including NHS At Risk staff throughout Devon who are able to display recent relevant experience as dictated by the Person Specification.**

- To contribute to the regular meetings with the Waiting List Facilitator/Medical Secretaries and Service

Line Manager in order to discuss clinical sessions and any waiting list issues.
- To answer the telephone, dealing with enquiries whenever possible and at other times taking accurate

messages and forwarding as appropriate. This includes discussing appointment details, preparation
and medication with patients when appropriate.
- Working as part of the clerical team delivering trust booking processes for urology patients.

Adhere to Trust policies and procedures, e.g. Health and Safety at Work, Equal Opportunities etc and maintain patient confidentiality at all times.
- Maintain and increase personal and professional development to meet the changing demands of the

job, participate in appropriate training activities and encourage and support staff development and
training.
- Respect the confidentiality of all matters that may learn relating to their employment and other

members of staff. All staff are expected to respect the requirements of the data protection act 1998.
- Comply with the corporate governance structure in keeping with the principles and standards set out

by the Trust.

PRIMARY DUTIES & AREAS OF RESPONSIBILITY
- To work as part of the administration team within Urology providing and efficient and timely clerical

- To ensure that 2ww patients are booked in a timely fashion ensuring that the department achieves the

Government targets, reporting any problems to the Waiting List Facilitator.
- Keep all outpatient lists booked to full capacity in order to achieve best practice. Highlighting any

capacity issues in advance.
- To provide cover when other clerical staff are on leave, increasing hours of work to full time if required.
- To check all patients who require a follow up appointment are appropriately booked and all

investigations are tracked appropriately.
- The postholder will be encouraged to attend training courses where appropriate and as identified by

the personal development review programme, so ensuring that his/her skills and knowledge meet the
requirements of the post.
- The postholder will respond to the changing needs of the department on a daily basis by providing a

flexible approach to the working day, maintaining the existing excellent standard of service and
continuing promotion of good working relationships.
- The postholder will adhere to the Data Protection Act to ensure patient confidentiality is maintained at

all times and will be familiar with and adhere to the Health and Safety policy and other Trust policies
and procedures.
COMMUNICATION & WORKING RELATIONSHIPS
- Build and sustain effective communications with other roles involved in the health community as

required to ensure good team working and collaborative working practices in particular.
- Work collaboratively within multi disciplinary team.
