Role: Fleet Co-Ordinator
Department: Group Fleet
Location: Edgware Road Toyota NW9 6LL
Hours: 40 Hours - Monday - Friday
Pay - 27k - 30k depending on experience
A little about you.
As a Fleet Co-Ordinator, you will play a very important role in achieving our organisational goals within the Jemca Group Fleet Team. With great attention to detail and an eye for accuracy, a Fleet Co-Ordinator will be able to provide exceptional fleet supportto the Fleet sales team to help them exceed their objectives. Putting customer needs at the heart of everything they do, the Fleet Co-Ordinator will focus on delivering complete customer satisfaction in an organised manner.
You will have the drive and determination to succeed in a demanding environment. To qualify for this position, you will have been able to demonstrate your ability to process administration tasks efficiently, accurately and on time and having a positive andprofessional attitude in communication with customers.
Task List To Include
- Checking orders on the T-Card system when received from the Jemca Fleet Team. Making sure all documentation is correctly attached and pricing is correct.
- Creating T-Cards for Toyota & Lexus orders received through the localisation programme.
- Creating T-Cards for Toyota & Lexus orders received through Jemca Leaselink accounts.
- Creating T-Cards for Regional Rental Buybacks and other ad-hoc channels.
- Once T-Card info checked, move Fleet T-Cards for fleet vehicles requiring ordering on the Toyota COL2 system to Corporate Sales Administrators.
- Regular weekly monitoring and updating of orders on the Fleet T-Card system in respect of ETA on COL2.
- Monitoring and updating the Leaselink systems for Toyota & Lexus orders received through the localisation programme. Adhering to all TGB Service Level Agreements.
- Monitoring and updating the Jemca Leaselink systems orders received.
- Keeping key fleet customers updated by using Status Reports from the T-Card system.
- Working with and supporting the other Fleet Co-Ordinators and Corporate Sales Administrators.
- Bringing vehicles into stock and uploading delivery PODs when arriving on sites, including our National PDI Centre at Groupe CAT.
- Advising sales person when vehicle is in stock and adding relevant information to the T-Card from COL2, chassis number, TGB stock number etc.
- Pass the T-Card to the Corporate Sales Administrators to allocate a vehicle registration number and set up deal ready for taxing.
- Liaise with sales person over delivery date and then book delivery with relevant driver / agency.
- Any required telephone support for Fleet customers and Fleet Sales Team.
- Help co-ordinating return of Regional Rental Buyback vehicles to our Jemca sites using Fleet T-Cards.
- Help in organising Fleet demos to key customers and leasing companies.
- Support the Group Fleet Manager with additional tasks and projects.
Comply with Jemca process and standards
- Follow and comply with the Jemca Standard Operating Procedures for Fleet. (SOP).
Your Skills.
- Relevant experience in an automotive environment.
- Be able to interact and communicate effectively with others.
- Work efficiently under pressure.
- High degree of accuracy, attention to detail, organisation and be able to prioritise work effectively.
- Good working knowledge of Microsoft Office and ability to master other systems.
