As an integral part of the Maternal Medicine Network Hub team, your role assists in providing a comprehensive, effective secretarial and administrative service for the West Midlands Maternal Medicine Network Hub.

To create and maintain effective administrative filing systems.

To be responsible for the circulation of agendas, papers, booking rooms and refreshments, and taking minutes at departmental meetings, project board meetings and MDTs as required.

To assist the Hub Midwives in the collation and effective storage of data, including via Excel spreadsheets.

To ensure a continuous supply of day to day essential stationery items.

To deal with telephone and face to face enquiries for the WM MMN Hub, ensuring enquiries / message are dealt with in the appropriate manner.

To engage with the Perinatal ODN admin team to agree any changes.

To use initiative in urgent or emergency situations and seek guidance should there be no manager available at the time.

Liaise with/take message from other third party organisation on behalf of the maternal medicine hub when appropriate.

Work as part of a team to perform above duties as part of cross cover arrangements within the Directorate and Perinatal ODN.

To create and maintain effective administrative filing systems.

To be responsible for the circulation of agendas, papers, booking rooms and refreshments, and taking minutes at departmental meetings, project board meetings and MDTs as required.

To assist the Hub Midwives in the collation and effective storage of data, including via Excel spreadsheets.

To ensure that other staff are following administrative policies and procedures, and to instigate procedural changes where necessary in order to improve administrative services in the department.

To engage with the Perinatal ODN admin team to agree any changes.

To development an administrative system to support the monitoring of complaints, investigations and incidents within the department ensuring that the senior nursing staff are aware of timescales and correspondence.

To prepare Change Forms and letters/correspondence for signature. This includes increases/decreases in hours, starters and leavers, maternity leave, changes in post and personal data changes, flexible working agreements. Change Forms to be submitted in a timely manner for management approval.

To use initiative in urgent or emergency situations and seek guidance should there be no manager available at the time.
