**The role**:
To provide a professional, comprehensive, and efficient front of house reception service to Kao UK employees and its visitors.

**What you will do**:

- To use a pro-active and energetic approach to managing the day-to-day operations of a very busy reception area.
- Must be extremely customer service aware and be an ambassador of the Company to both internal staff and visitors from all levels and backgrounds.
- Act as a fire marshal and office first aider (training to be provided).
- Meeting and greeting visitors in the reception area and ensuring that an appropriate welcome is extended at all times. Ensuring that all visitors sign in and out of the building.
- Answering the switchboard in a professional and calm manner. Responding to and directing enquiries to the appropriate staff members within the office or relaying a message where appropriate
- Assisting Office & Facilities coordinator with monitoring and ordering of office supplies and stationery.
- Ensure stationery cupboards are organised and tidy.
- Responsible for ordering catering requirements for working business lunches.
- Responsible for booking cars and taxis for staff business needs.
- Responsible for all incoming and outgoing mail through Royal Mail and couriers, both domestic and international, such as FedEx and Addison Lee.
- Approve/Escalate invoices as appropriate using SAP/OpenText
- Monitoring and issue of Security Swipe Passes. Keeping a log of all visitors who use these passes and following up with them should they fail to return at the end of each working day.
- Act as a fire marshal and office first aider (training to be provided).
- Ensure all accidents or near misses are recorded, fire exits kept clear, and general office housekeeping is kept in good order. Escalate and report any issues or concerns to the office coordinator.
- Assisting Office & Facilities coordinator with administration assistance as and when required as well as other ad hoc duties. The above list is not exhaustive.
- Maintaining a tidy and welcoming reception area. Ensure the post and print areas are kept tidy.
- Managing meeting rooms and all collaborative spaces.

**What you will need**:

- Proficient in Microsoft Office, Word, and Excel
- GCSE English
- General IT Literacy, experience of SAP and raising purchase orders preferred.
- Good telephone manner
- Must have reception experience in a medium sized, fast changing office environment (2 years).
- Excellent communication and interpersonal skills
- Excellent presentation and articulation
- Proactive team player
- Excellent attention to detail
- Calm under pressure
- Excellent organisational skills
