- **Role Overview**_

The Reactive Maintenance Coordinator is responsible for efficiently managing and coordinating the resolution of reactive maintenance requests and emergencies. This role involves prioritising, and ensuring assigned maintenance tasks are issued to the appropriate staff or contractors, ensuring timely response and resolution to minimise downtime and ensure the smooth operation of reactive works
- **What you'll do**_

The following reflect the main tasks associated with the position and are not intended to be exclusive or exhaustive:

- **Reactive Maintenance Coordination**: Overview of reactive maintenance requests from various sources, including clients, tenants, and internal staff, and prioritise them based on urgency and impact on operations.
- **Task Assignment**: Review maintenance tasks assigned to internal maintenance teams and external contractors to ensure prompt response and allocation of resources, ensuring KPIs are met.
- **Communication**: Maintain regular communication with stakeholders, including clients, tenants, maintenance teams, and contractors, providing updates on task status, expected resolution times, and any relevant information or instructions.
- **Problem Solving**: Identify potential maintenance issues, collaborate with technical experts or supervisors as needed to diagnose problems, determine appropriate solutions, and implement effective remedial actions.
- **Emergency Response**: Respond promptly to emergency maintenance requests, such as equipment failures, leaks, or safety hazards, coordinating rapid mobilization of resources and ensuring timely resolution to mitigate risks and minimise disruptions.
- **EWN & KPI Reporting**: Follow procedures for submission of Early Warning Notices to client, follow up with any further information required. Maintain contract KPI’s and review in line with contract specification.
- **Quality Assurance**: Liaise with Contract Supervisors to ensure high quality service delivery and provision of regular updates.
- **Customer Service**: Provide responsive and courteous customer service to clients and stakeholders, addressing inquiries, resolving complaints, and ensuring satisfaction with maintenance services delivered.
- **Continuous Improvement**: Identify opportunities to streamline processes, improve efficiency, and enhance the overall effectiveness of reactive maintenance operations. Recommend and implement changes, initiatives, or best practices to optimize service delivery and exceed customer expectations.

As Reactive Coordinator your main skills and experience will include:

- Essential Criteria_
- Proven experience in maintenance coordination, facilities management, or related field, with a minimum of 3 years of experience.
- Strong organisational, multitasking, and time management skills, with the ability to prioritise tasks effectively and manage competing demands in a fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders and build positive working relationships.
- Proficiency in computerised maintenance management systems (CAFM) or similar software for task management and reporting.
- Ability to work independently with mínimal supervision, as well as collaboratively within a team environment.
- Strong attention to detail and organizational skills.
- Ability to work effectively under pressure and manage competing priorities.
- Commitment to upholding ethical standards and maintaining confidentiality.
