**Small Works Coordinator - Facilities Management**
**Location - London, **EC2N 4AH**
**Hours - Monday to Friday, 8am to 5pm**
The purpose of this role is to support with providing quotes and oversight for the organisation in the delivery quoted/ extra/ small works across the south division and will require liaison with teams across the business. The role will require following up on recommendations from PPM tasks as well as additional works requested from customers, using delivery in house as well as contractors. This will involve creating the quotations via the internal systems, booking in the work once approved and assisting in ensuring all procurement activities and contracts are delivered professionally to time cost & quality requirements.
The role will require working on a variety of PPM & CAFM systems and ensuring tasks are completed within the SLAs of customers and the company, as well as commercially in line with requirement.
**The key responsibilities of this role will involve**:
- Assisting in arranging triage process including arrange surveys and first response works where needed
- Creating the quotation for works and ensuring all elements of the works are included
- Review survey documentation and assist in planning any additional works, including subcontractor selection and management.
- Book in the works with the relevant parties
- Follow up with contractors to ensure delivery of work.
- Ensure additional works adhere to the specifications of the quote
- Ensure compliance with policies and procedures and contract compliance
- Where required visiting site location to understand the contract and works required
- Assist where required with booking in permits and H&S checking Liaison with the contract managers, contract support and engineers
- To build strong relationships with subcontractors, to ensure cost effective solutions which meet our quality expectations and can be delivered to our clients
- Build strong relationships with the CTS team across the business to ensure knowledge of the requirement for each contract
- Awareness of contract margin and profit delivery.
- Upload documentation to the relevant client portals
- Assist with client reports in relation to quotations, financials and SLAs.
**Skills & Experience**:
- Experience using CAFM systems such as JobLogic and Elogbooks.
- Willingness to support where needed
- An strong understanding of additional works Good commercial awareness
- Ability to work flexibly and support where required across a range of contracts
- Ability to manage and track multiple tasks and to keep chasing when needed
