**What you'll be doing...**
Provide support to the Facilities Manager for the proactive, efficient and effective delivery of facilities services.
- HSSE: Health, Safety and Environmental Issues: Documentation, monitoring and reporting all audit-relevant documents, policies, training certificates and KPIs (incident reporting and environmental relevant consumption data).
- Preparation of Audit-relevant Documents and Reports: Disaster Recovery Plan, Food-Hygiene & Safety Guidelines, Environmental & Sustainability Report, Tenant-Audit-Checklist, just to mention a few).
- Distribution of Health and Safety Services (HSS) related documents and figures to MG-Staff as well as investors
- Monitoring Training Relevant Data: Ensuring that all staff is up to date with their training plan and organizing courses and trainings related to Health & Safety & Sustainability issues.
- Organizing of Health & Safety Meetings and Fire Drills: Monthly Emergency-Team-Meetings and quarterly fire drills,
- Purchase-Order placing and ensuring that data of new suppliers are passed onto Head-Office via compliance form.
- Audits, Meetings and Conference Calls in the absence of the facility manager.
- Internal ISO-Monitoring Audits and External Audits
- Monitoring Technical Disorders to keep a record of the daily disorders throughout the centre.
- Ensuring the Centre Visit Criteria are inspected and recorded on a regular basis thus making sure that a consistent approach to best practice in facilities management is guaranteed across the centre. Maintaining regular contact with the main sub-contractors.
- Tenant-Audit-Tracker Record Keeping for supporting the facilities manager to ensure that all tenants carry out their maintenance requirements.
- Creating Presentations (e.g. Capex, Tenant Meeting etc.), Statistics, MG-News articles, Memos etc.
- Preparation of handover documents of units for new tenants.
- General administrative duties including travel booking and managing the Centre’s Duty Management rota.
- You are responsible for fully complying with the company’s policies and procedures.
- At all times you should act in the company’s best interests and in the best interests of those entities which we represent.
