Job Summary To provide front of house services dealing directly with patients and all other callers both face to face and by telephone in accordance with agreed general protocols. Duties also include some scanning and keeping the Reception area in good order. Principle Responsibilities **To ensure all callers report first to reception, to greet them appropriately in a polite and professional manner, identify them and guide them to wherever else in the building they should be or deal with their issues on the spot in accordance with practice protocols. This would be either face to face or by telephone.**
- To make appointments for patients and others using the computer system provided in accordance with specific protocols.
- To answer the telephone and either deal with the caller’s issues or pass the call to someone else in the building in accordance with practice protocols.
- To take messages from face to face or telephone callers if a matter cannot be resolved immediately and to ensure that the message reaches the person it is intended for or their deputy within an appropriate length of time.
- To action any request from GP’s for ambulances to be called in and timely manner and to record details of call in appropriate file.
- To ensure that all requests for house calls are duly noted and passed onto the relevant doctor immediately.
- To ensure that all notifications of deceased patients are recorded and passed on to the relevant doctor and administration staff.
- To deal with all queries from District Nurses and GP’s.
- To file all letters received electronically via DOCMAN and to scan all other patient correspondence received in accordance with practice protocols.
- To ensure that the telephones are set appropriately.
- To assist patients with appropriate form filling.
- To advise prospective patients on the surgery’s practice boundary.
- To open and date stamp the daily post and distribute accordingly.
