Commercial Assistant

The Commercial assistant works as part of the WOLFFKRAN commercial department. The Commercial assistant will provide administrative support to the team of Quantity Surveyors ensuring that departmental targets are achieved and deadlines are met.
Main Tasks
- Inputting/Reviewing/Amending order information onto the SAP system to ensure accuracy prior to the commencement of invoicing.
- Inputting data onto customer portals.
- Review and distribute all documents used as the basis for charging the customer prior to the invoice being raised, including employee timesheets, worksheets, service sheets etc.
- Assisting the Commercial team with standard CPA contract negotiations and response letters.
- Assisting the Commercial team with general administration duties.
- Addressing customer queries, liaising with the Quantity surveyors and Credit Controller to ensure the efficient collection of outstanding accounts.
- Ensuring documents held are accurate, updated and sufficient for auditing purposes.
- General upkeep of SAP contracts throughout the duration of projects.
- Production of ad hoc reports/account reconciliations when requested.
- Input and reporting for monthly credit control meetings
SHEQ Responsibility
- Understand and comply with the SHEQ Policy relevant procedures.

- Dispose of waste responsibly and in accordance with policy.
- Report any breaches of the SHEQ Policy; accidents; incidents or broken / damaged equipment to your line manager in a timely manner.

- Maintain a professional and dignified working environment for all employees and visitors.
- Ensure that high standards of cleanliness and presentation are maintained in your own areas of responsibility, report and action any issues identified in other areas of the business.
- Consistently provide excellent levels of service to both internal and external customers.
- To commit to collaborate with other colleagues and departments of Wolffkran and improve the team working ethic within the business.
- To occasionally undertake reasonable alternative duties not detailed in this document.
- To attend and contribute to any internal or external meetings as required
- To attend internal or external training courses.
Required Education, Qualifications and Experience
- Experience of working well with others.
- An understanding of ERP software - Data Inputting and Invoicing.
- Proficient in MS Office / Excel.
- Excellent Telephone/customer service Manner.
- Experience of dealing with high volumes of data input.
- Good organisational skills with the ability to multi task and prioritise deadlines.
