**Salary**:NJC Scale 6 - £32,919 to £35,014 incl £3,650 London weighting and 5% pension contribution

**Leave**:27 days per year (increasing to 30 days) + bank holiday entitlement, plus 3 days at Christmas

**Job Profile**:Family Rights Group is seeking a highly-organised Administrator to ensure the smooth and effective administration of the organisation, with a focus on the key function of finance (approx. 50% of the role), as well as support with human resources, events and data management, as well as general office management.

**The Role**:
Family Rights Group is looking for a skilled and fast-paced Administrator to organise the charity’s day-to-day operations. Your role will be to work with our Finance Manager, COO and other key staff and teams to provide key financial and administrative support and coordinate daily administrative activities. You will work with the Finance Manager to ensure that the charity’s financial operations are accurate and maintained to the highest standards. You will also execute a wide variety of other tasks, services and projects to ensure that the charity’s operations run smoothly and effectively.

**Key Responsibilities**:
1. Financial inputting & processing

To assist the Finance Manager with key financial tasks, including:

- preparing, processing and paying invoices via Xero
- recording and reviewing purchase orders
- processing staff expense claims
- ensuring all finance records are accurately labelled, tracked and recorded
- reporting on debt and investigating outstanding payments to bring in income
- helping staff members to understand and use finance processes, including the purchase order system

2. Communicating effectively with staff across the organisation and externally
- To answer and respond to telephone calls to the charity’s central number, taking accurate messages and passing on to the appropriate individual or organisation.
- To manage incoming communications, including via post and the charity’s inbox, responding and distributing to relevant staff.
- To deal with orders of training materials via our online shop.
- To acknowledge other incoming external communications, including from the charity’s supporters.

3. Supporting the delivery of core human resources functions
- To assist the Finance Manager and the IT Support Officer to source, purchase and distribute equipment and supplies to staff, and to support staff to perform their responsibilities.

4. Coordination of events and external activities
- Working closely with the Chief Executive, to help with administrative aspects of planning and running meetings, conferences and events, whether in-person, remote or hybrid. When required, this will include attending and taking minutes.

5. Monitoring & evaluation
- To support the distribution of surveys measuring families or practitioners’ experiences
- To analyse surveys, producing reports which summarise findings

6. Supporting data management
- To assist the organisation with the management of all data records, including retention and disposal of different types of data
