We have a vacancy for a PA to join the team at Leatside Health Centre to cover Maternity Leave. The role is for 37.5hrs working Monday to Friday.

The Practice is known for its pro-active approach within Primary Care and the Primary Care Network, and has a patient population of circa 17,000 patients.

**Purpose of the role**

To provide efficient personal assistance to the Practice, Doctors and Health Professionals.

**Key responsibilities**

The following are the core responsibilities of a Personal Assistant. There may be occasions when there is a requirement to carry out other tasks; this will be dependent on factors such as workload, staffing levels and direction of the Team Lead/Manager:

- Supporting nominated Doctors, and Health Professionals, dealing with administrative queries and tasks on their behalf
- To assist the practice management team with clerical and administrative duties
- Liaise with wider system, outside agencies and secondary care to make hospital appointments, bookings and admissions as requested, and sending of patient documentation such as profiles
- To establish, and maintain, filing and administrative systems so that written or computer information is easily accessible and secure
- To receive incoming, and initiate outgoing telephone calls, in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
- To maintain the computer clinic system in an accurate and secure manner
- To process incoming and outgoing mail, including franking of post and maintaining a pending system
- To scan and assign incoming documents to the relevant patient record
- Readcoding of all assigned documents, following the appropriate processes and protocols
- Ensure optimisation processes are followed, to relieve the clinical team of receiving inappropriate documents
- File patient records and correspondence in patient medical records, as necessary
- To monitor and process the PA workflow/tasks inbox
- To ensure unmatched pathology results are assigned
- Processing forms prior to passing to the GP e.g. private medicals
- Advise patients on the relevant charges for private and non GMS procedures, and generate invoices as necessary
- To provide cover for members of the PA team during periods of sickness and annual leave
- To assist with the gathering of statistics and information when required
- Any other responsibilities that your line manager feels necessary to the role of a PA.

**Personal Qualities & Attributes**
- Ability to actively listen, deal tactfully and empathetically with distressed patients or carers
- Have a strong awareness and understanding of when it is appropriate or necessary to escalate issues to line manager
- Ability to organise, plan and prioritise on own initiative, including when under pressure and meeting deadlines
- Ability to work flexibly and enthusiastically within a team or on own initiative
- Knowledge of, and ability to work to, policies and procedures, including confidentiality, safeguarding, information governance, and health and safety

**Qualifications & Training**
- Educated to GCSE level or equivalent
- GCSE or equivalent Maths and English C and above
- RSA stage III in word processing and text production - desirable

**Experience, Skills & Knowledge**
- Excellent keyboard and IT skills
- Experience of working in a GP Practice - desirable
- Ability to prioritise workload in a methodical and logical manner
- Knowledge of EMISWeb clinical system - desirable
- Ability to code medical documents - desirable
- Working knowledge of medical terminology - desirable
- High level of written and oral communication skills

**Other**
- Meets DBS reference standards and criminal record checks
- Willingness to work flexible hours when required to meet work demands
