Vacancy for part-time Receptionist/Admin assistant
- 16 hours per week

Practice 2 at Keir Hardie Health Park, Merthyr Tydfil, are seeking a Receptionist / Administration assistant to join our team. This is a varied role with reception desk and admin duties. We are a small friendly, well-established practice and the post is part of the team of receptionists, doctors, nurses and administrative staff.

You should be capable, enthusiastic and have experience with using computers and of dealing with people, preferably at a GP surgery. Prioritising a busy workload, being a good team player and having the ability to undertake a wide range of duties are some of the qualities you should have experience of.

Your responsibilities: all administration tasks which include booking appointments, scanning, answering and making telephone calls, printing prescriptions, dealing with queries from patients, clinicians and other health professionals. You will need to be an effective communicator with excellent interpersonal skills. An ability to work in an organised manner and under pressure. The role would ideally suit someone who has worked within a surgery environment, but this is not essential.

Training and support will be provided with a structured induction to ensure a full understanding of the VISION computer system if necessary although prior experience would be preferred. You should have sound, general computer knowledge and good typing skills. Flexibility in working hours is necessary. Hours will be over 5 days (Monday - Friday) between 8.00 and 18.30.

Rate of pay: start at minimum wage

JOB TITLE: Receptionist/Admin
RESPONSIBLE TO: PRACTICE MANAGER MAIN DUTIES

The following are the core responsibilities of the receptionist/administrator.
There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

- Maintaining and monitoring the practice appointment system
- Process personal, telephone and electronic requests for appointments
- Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
- Action all incoming queries, signposting patients to the correct service
- Process incoming and outgoing mail
- Initiating contact with and responding to, requests from patients, team members and external agencies
- Process referrals to external agencies such as secondary care using the electronic referral system (ERS)
- Photocopy documentation as required
- File and store records as required
- Data entry of new and temporary registrations and relevant patient information as required
- Input data into the patient’s healthcare records as necessary
- Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
- Manage all queries (including administrative queries) as necessary in an efficient manner
- Maintain a clean, tidy, effective working area at all times
- Monitor and maintain the reception area and notice boards
- Support all clinical staff with general tasks as requested.
- Contacting patients via telephone, letter or text message concerning results/ hospital letters that have been received in practice.
- Adhering to strict data confidentiality guidelines

**Job Types**: Part-time, Permanent
Part-time hours: 16 per week

**Salary**: From £9.50 per hour
