**Reporting to the Office Manager the Administrator will be responsible for the day-to-day administration duties and supporting Facilities Managers and employees. The Administrator should have an excellent telephone manner with strong communication and interpersonal skills**

**Location: Belfast, Wildflower Way**

**Hours of work: Monday to Friday, 37.5 Hours**

**Contract: Full-Time/Permanent**

The Administrator shall:

- Carry out administrative duties including word processing, photocopying, printing, filing duties
- Liaise with Helpdesk personnel to collect necessary information and assist Facilities Managers with completion of monthly reports
- Request information, collate and distribute meeting agendas
- Type and distribute Operational meeting minutes
- Collate and track operational information and uploading to company data bases
- Track and collate Third Party Use documentation
- Assume receptionist duties, greet visitors and refer to appropriate staff members, answer phone, route calls and take messages
- Control and update Contract specific asset registers
- Organise and diarise meetings
- Undertake any other duties that may be assigned from time to time
- Have a high degree of discretion dealing with confidential information
- Provide admin support to Safety, Health, Environmental and Quality Team, to include recording of H&S accidents, observations and incidents
- Document control
- Involvement in travel bookings

**About You**:
**Essential Criteria**
- Previous experience of working in an administrative or clerical role
- GCSE English at Grade ‘C’ or equivalent experience/qualification
- Administrative experience in a busy, pressurised environment
- Working knowledge of Microsoft Office software, (Word, Access, Excel, PowerPoint)

**Desirable Criteria**

1. NVQ Level 2 Administration or equivalent
