Project record keeping and responsibility for inputting data and the maintenance of defined aspects of the project information.

Maintenance of beneficiary database and records in relation to projects and in line with internal College procedures.

Liaison with Project delivery Managers and other relevant staff. Information input as appropriate, into project steering groups. Presenting relevant information & data to internal and external meetings as & when necessary.

Maintenance of a variety of filing systems to ensure that information can be readily retrieved as required by College staff and external agencies.

Liaise with staff on projects at all levels to ensure timesheets are correct and all hours eligible are claimed. Help staff to create timesheets as appropriate.

Interrogating & updating relevant data bases for project information and participant data

Identify and calculate for each commercial company on relevant projects, their contribution to project costs.

Maintaining employer contribution monitoring database, ensure commercial company contributions are paid and correct, raising invoices where necessary and following up unpaid debt with companies - updating contribution spreadsheets with company information and checking company eligibility on external database as required by Sponsor.

Assist supervisor in the preparation of quarterly Funder (WEFO/WG) project audit samples, including involvement in all external project audits and contribute to the production of action reports and their completion.

Assist the supervisor to resolve compliance reports, liaising internally & externally as required.

Assist with the maintenance & development of internal systems and procedures, to ensure compliance with the specific requirements of projects.

Provision of administrative support in respectof all aspects of the activities undertaken by the External Funding Unit, to include photocopying, collating, minute taking, etc.

Any other relevant administrative duties as requested by the Assistant Director of Finance (External Funding) or Director Strategic Projects.
