Clinic Co-ordinator

We are currently recruiting a full-time clinic receptionist with a minimum of 2 years’ experience in a similar role.
As clinic front of house receptionist you will be responsible for ensuring the smooth and efficient running of the front of house of the clinic, who has a real passion for the aesthetics industry and is confident to work within a team, as well as working on their own.
You will be the first point of contact representing the clinic, so you'll be expected to offer the highest level of customer service in order to book new consultations.
**Responsibilities**:
- Be the first point of contact for all visitors attending the clinic.
- Excellent telephone manner
- Schedules all client appointments in a professional, accurate, and courteous manner.
- Answering incoming calls - General enquiries. Booking consultations for new clients along with booking existing client appointments.
- Contact any new and old enquiries to generate consultations.
- Maintain client follow up calls.
- Confirming new client consultations.
- Cancelling & rescheduling appointments as necessary.
- Rebooking client appointments.
- Meet and greet clients for consultations/treatments ensuring they are dealt with in a first class, professional manner.
- Ensure all client consent forms are completed.
- Complete stock checks, ensuring good stock control and cleanliness.
- Make sure treatment rooms are prepared and cleared throughout the day.
- Speaking to new and existing customers about the products/services we offer building our retail sales.
- Regularly liaising with the flagship clinic in order to maintain the effective running of the clinic.
- Convert new and existing clients in order to contribute to meeting business KPIs.
- Responsible for taking payments for treatments and products.
- Ensure deposits are taken for necessary treatments at the time of booking.
- Liaise with the flagship clinic on a daily basis.
- Ensure all complaints are brought to the attention of the Clinic Manager and/or Clinic Director.
- Complete an end of day report daily.
- Ensure all administration are completed correctly.
- Attend team meetings & other meetings as required.
- Assisting in successfully organising in house promotions and events.
- Open and close the clinic.
- Ensuring the clinic is ready for trading.
**Skills/attributes/Qualifications**
- You must be someone who is warm and friendly, who is passionate about providing exceptional levels of customer service at all times to our clients.
- Experience of managing a small team and running a salon or clinic.
- Computer literate.
- A people person; approachable; find it easy to build relationships with a diverse group of people.
- Proactive - someone who will look for opportunities to open conversations with clients about treatments and products.
- Organisational skills, ability to remain calm and focused in potentially busy/stressful situations.
- Efficient, organised, capable to multitask
- Have the ability to listen and respond to demanding client needs
- Excellent communication skills
