We are a specialist UK Environmental consultancy based in Surrey and have an exciting opportunity for a permanent facilities coordinator. The position is based at our head office on the beautiful Surrey Research Park in Guildford.
**About the role**
In this varied role, you’ll be ready to put your talents to a range of tasks to help maintain the smooth running of the office from being the first point of contact for clients, to supporting the health and safety for all staff and visitors.
As part of the role, you will also manage the facilities and ensure that all planned and reactive maintenance is carried out with mínimal disruption and that we have a safe, comfortable and practical working environment for all. You will also oversee the security, building, cleaning and postal services.
With a good understanding of finances, you will review supplier contracts and purchasing to ensure all services and products are cost effective and within our pre-agreed budgets. A strong communicator, you’ll feel at ease liaising with internal and external stakeholders, demonstrating a customer-focused approach, as you develop positive working relationships and deliver a high standard of customer service at front of house.
As the first point of contact for visitors, you will be well presented and have a welcoming and professional attitude. You will be experienced in dealing with and directing enquiries both in person and over the phone. Additional responsibilities include liaison with suppliers, distribution of post and ad hoc facilities and administrative tasks.
**Responsibilities**
- First point of contact in reception for visitors, deliveries and contractors.
- Ensuring all front-of-house areas are maintained to presentable levels.
- Answering the telephone and directing callers to the correct member of staff quickly and professionally.
- Sorting and distributing post as well as franking and sending outgoing post.
- Ordering and managing stationery, kitchen and office supplies.
- Supporting our regional offices remotely with some facilities tasks.
- Assisting with signposting, and other general office tasks.
- Meeting and greeting clients and visitors, and making refreshments.
- Arranging couriers.
- Issuing car parking permits to visitors and new members of staff.
- Managing the issue and return of keys and security fobs.
- Assisting with new starters and suppliers.
**Skills and Experience Required**
- Experience within Reception or Facilities (preferred)
- Proficient use of MS Office
- Strong customer Service skills
- Willingness to maximise customer satisfaction
- A high level of attention to detail
- A welcoming and personable disposition
- A professional telephone manner
- A positive outlook with enthusiasm and self-motivation to deliver a high level of customer service.
