**Job Title: Operations Administrator**

**Location: Choppington**

**Responsible to: Business Support Manager**

**Key Relationships: MD, BSM, Operational, Home Managers, Home Administrators**

**Job Purpose**

To provide high quality administrative support for the operational function of the business. To deliver an effective administrative service which meets the needs of the business and accords with the business’ data and compliance requirements.

**Key Duties**
- Provide support to the BSM and operational functions with administrative tasks having due regard to the confidentiality and high level of sensitivity of information held.
- Respond to telephone enquiries, redirecting calls as necessary.
- Assist with the production of high-quality presentations and documents.
- Attend specific meetings and co-ordinates the circulation of information and action points immediately following the meeting.
- Attend specific meetings and produce complete and accurate notes/formal minutes.
- Operate admin systems in support of functions within the business.
- Provide first point of telephone and face-to-face contact for visitors and callers to the regional offices.
- Maintain databases and spreadsheets.
- Collate statistics and produce reports.
- Devise and maintain an effective electronic documents storage system and/or filing system.
- Provide information for references for outgoing operational employee.

**General Responsibilities**
- To be responsible for maintaining your own health & safety whilst at work and for health & safety of colleagues, people who use services and for alerting the officers responsible to any hazards or potential risk to health & safety.
- To ensure compliance with the Data Protection Act and to ensure that an appropriate level of confidentiality is maintained around issues which may be personally or commercially sensitive.
- To be responsible for the establishment and maintenance of positive working relationships both with external agencies and internal departments and with individual colleagues with whom interaction is required.
- To operate in a style to which is consistent with the values and vision of the business.
- To promote equality and diversity at all times and across all work activities.
- To undertake any other duties and accountabilities which would be lawful, reasonable and appropriate to the role.

**Knowledge / Abilities / Skills**

Knowledge:

- GCSE (or equivalent) in Maths and English
- Administrative Qualification
- 2 years relevant experience
