**Job Summary**: Havering Health GP Federation is seeking a highly organised and efficient Project Officer to provide comprehensive administrative and secretarial support to the CEO, various boards and committees. This role plays a critical role in ensuring the smooth operation of the Federation by managing agendas, minutes, action logs, and communications for meetings. You will also be responsible for supporting the CEO with a variety of project-specific tasks. If you are a self-starter and someone who enjoys working at a fast pace and shares a desire to help improve health outcomes for our local population then this may be the role for you.

**Key Responsibilities**: Board and Committee Support: Provide comprehensive administrative and secretarial support to all boards and committees within the Federation. Develop and manage agendas, minutes, action logs, and meeting papers for all meetings. Coordinate speaker timings, agenda items, and follow-up actions. Prepare meeting materials for the CEO/Chair and other relevant stakeholders.

Manage communication logistics and ensure timely dissemination of information. Meeting Management: Organise and manage meetings for the CEO, including scheduling, confirmations, and preparation. Manage logistics for all board and committee meetings (e.g. communicating and coordination of meetings).

Support the monthly MDT meeting by coordinating the meeting and supporting the clinical lead. Facilitate smooth meeting conduct through timekeeping and agenda management. Draft and edit meeting minutes for accuracy and clarity. CEO Support: Provide project-specific support to the CEO, including preparing reports, presentations, and project specific tasks.

Maintain accurate records and filing systems. Perform other administrative duties as assigned. Personal/Professional Development: Propose changes and informing policy and making recommendations for other projects, work streams and service delivery. You will consistently look to improve what you do, look for successful tried and tested ways of working, and seek out innovation and support others to do the same.

Contribute to the review and development of existing information management systems. The post-holder will participate in any training programme implemented by the Federation as part of this employment. Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and/or professional development. Training may need to be undertaken outside of normal hours, and off site.

Proven experience in managing boards, committees, and meetings effectively. Strong organisational and time management skills. Excellent communication and interpersonal skills, both written and verbal.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams). Ability to work independently and as part of a team. Experience within the healthcare sector or a related field is required. A proactive and problem-solving approach is essential.
