**JOB PURPOSE**:
As the first and last point of call the receptionist is a key employee for driving business by up-selling retail and services that are being booked. Utilisation of the whole appointment book and of individual stylist columns therefore means maximisation of stylist resource and salon turnover.

The ideal receptionist needs to represent the Tops Hair Salon & Beauty brand in all aspects of behaviour, for example, dress, language and attitude at work. Receptionists must be highly diplomatic, confident, discrete and trustworthy with strong sales techniques and must be a positive team player.

**IMPACT INFLUENCE AND KEY RELATIONSHIPS**:

- **CLIENTS**: Being seen as in control, and an ambassador of Tops.
- **SALON DIRECTORS**: Working together closely to ensure tasks set are carried out within the working salon.
- **STYLISTS**: Ensuring timing of appointments and the appointments reflect capabilities.
- **SALON ASSISTANTS**: Working together to ensure the salon is maintained and that the salon, stylists and beauty therapists are supported.

**JOB RESPONSIBILITIES**:

- Greeting clients and organising refreshments.
- Monitoring the appointment book, maximising the utilisation of the salon appointment book, re-arranging appointments when necessary and ensuring the salon has adequate stylist availability throughout the day.
- Inform staff when clients have arrived.
- Support and inform clients who are affected when stylists run behind.
- Keeping the reception area clean and tidy and replenishing retail stock.
- Placing, receiving, accepting and reconciling stock orders, and assisting with stock takes.
- Carrying out hair and beauty allergy tests.
- Handling bill payments.
- Daily and end of week cashing up of the till and balancing with the salon software.
- Managing petty cash.
- Allocating tips for all staff.
- Managing the music system.
- Managing the air conditioning system.
- Assisting with health and safety and fire safety by carrying out fire alarm tests and completing risk assessments and other tasks as required.
- Following up outstanding staff and client accounts.
- Ensuring that salon forms, allergy tests, appointment cards, till rolls, children’s sweets and all other reception supplies are re-stocked.
- Assisting the Directors with salon tasks and projects.
- Ensuring salon runs smoothly and looks great.
- Complaints/queries to be recognised and client feedback forms completed. All issues are to be solved with support from the Director & Salon Manager.
- Reception cover to be sought from the team for all receptionist breaks.
- Efficient time management and utilisation of the whole appointment book and of individual stylist columns therefore means maximisation of stylist resource and salon turnover.
- Ensuring clients are rebooked for their next appointment.
- Arranging staff lunches and breaks.
- Selling and advising clients on retail products and services for all clients. Reviewing current ranges and promotions for feedback to manager.

Keeping the Tops Hair Salon & Beauty mission statement maintained within the salon.

**CUSTOMER SERVICE JOURNEY**:
Receptionists are expected to follow a consistent process of meeting and greeting every client at every visit to ensure their experience is positive and memorable.
