Positive Steps Specialist Care Services Ltd is looking for a administrator who will be;
Working in a positive, friendly and progressive environment with the Office Manager, Director and other Managers to ensure efficient and effective communications, marketing, recording, monitoring and maintenance of office systems.
Carrying administrative duties such as filing, typing, copying, scanning etc.
Occasionally organising travel arrangements for senior managers.
Occasionally booking conference calls, rooms, taxis, couriers, hotels etc.
Processing expenses sheets and invoices.
Inputting receipts on Excel in preparation for annual accounts.
Completing any other accounting tasks requested including Payroll
Monitoring stationary levels and ordering office supplies.
Maintaining computer and on line filing systems. Working knowledge of Excel and Microsoft, TEAMS and SharePoint systems needed.
Provide information to internal colleagues or external enquirers.
Handling sensitive information in a confidential manner.
Taking accurate minutes of meetings.
Coordinating office procedures.
Develop and update administrative systems to make them more efficient.
Resolve administrative problems.
Receiving, sorting and distributing the post.
Answering telephone calls and passing them on.
Assist in managing staff appointments.
Assist in managing young people’s appointments
Maintain up-to-date employee holiday and sick records.
Involvement in tendering processes
Working with maintenance to coordinate repairs and maintenance of the homes
Greeting and assisting visitors.
Photocopying and printing out documents on behalf of other colleagues
Involvement in Marketing and supporting the development of social media platforms for the Company such as Facebook and the Company Website.
Any other duties and responsibilities expressed and implied which arise from the nature and character of the post within the Homes.

The Administrator in general works a 30 hour week on agreed days between Monday - Friday 9am-5pm. The role is flexible and earlier or later starts are possible. Hours to be discussed at interview.
Although not working directly with vulnerable children and adults we would expect all applicants to undergo a check with the Disclosure and Barring Service in order to ensure their good character.
