Are you interested in specialist medicine and have a passion for patient care and wellbeing? We want you to join our busy but friendly secretarial team who will be part of a cutting edge, ever expanding Gastroenterology Service.

You will be required to carry out a wide range of admin tasks which will vary from day to day and include close working with our amazing Specialist Nurse team and wider multi-disciplinary team.

This role will mostly be based on site but there may be opportunity for agile working going forward.

You will be a member of a team of secretaries providing secretarial and administrative support to the Gastroenterologists, Specialist Nurses, junior medical staff and any other staff.

You will support the efficient channelling of communication between medical staff, GPs, patients, relatives, members of the public and other disciplines within the Trust.

You will provide audio-transcription of clinic letters and results and provide a general clerical service and support for medical secretarial teams throughout the Directorate.

You will also be required to arrange appointments in a timely manner to support the safe delivery of care.

Undertake audio transcription of outpatient clinics, admin correspondence and any other correspondence ensuring all is prepared for signature promptly and to a high standard.

Respond to external and internal telephone enquiries from staff, patients and others in an efficient, tactful and diplomatic manner and ensure that any messages/information is passed to the appropriate person quickly.

Communicate with a wide range of staff, patients and visitors to the Trust / Department utilising a variety of communication methods including verbal, electronic and passing information in a format that is appropriate to the individual request

Co-ordinate and maintain accurate diary and work schedule for the consultants in order to ensure follow through on actions required e.g. communication of clinic cancellations/ reductions to relevant departments.

Use databases and computer packages where appropriate to initiate and maintain records and generate statistics for analytical purposes. Ensure databases are updated and accurate.

Accurate filing of patient investigations and correspondence, ensuring all are made available on Evolve.

Collect and sort incoming mail to be actioned by Medical Secretary / Consultant or other healthcare professionals.

Provide secretarial and administrative support when other members of the team are absent.

Attend all relevant meetings depending on the needs of the service.

Tracking of patient investigations and escalation where required.

Action urgent consultant/nurse requests in a timely manner.

Escalate capacity issues to Performance Manager.

Interrogating patient records and data to ensure accuracy and updating Trust systems to reflect any updated information.
