**Location**:London HQ plus working from home

**Purpose of job**:
As our Administrator, you will work closely with the Company Secretary and Party President, providing crucial administrative assistance in various tasks. Your exceptional attention to detail, record-keeping skills, and communication abilities will be key in maintaining accurate records, managing communication channels, and facilitating the implementation of corporate policies and procedures.

**Key Responsibilities**:
**Organise and Inspire**:Support the Company Secretary and Party President in organising and preparing board meetings, from scheduling to collating meeting materials. You'll be the driving force behind ensuring agendas and minutes are distributed promptly, helping to keep us on track.

**Master of Records**: Maintain and update company records, including registers, policies, legal documentation, and our beloved constitution. Your expertise in our constitution and relevant legal and regulatory requirements will be instrumental in ensuring compliance.

**Flow of Decision-making**: Coordinate the flow of decisions through our governance structure, collaborating closely with the President, committee chairs, and elected representatives. You'll be the linchpin that keeps things moving smoothly.

**Elections Extraordinaire**: Assist in managing internal elections for committee roles, including the prestigious Party Leadership position. Your organisational skills will shine as you oversee this important democratic process.

**Meticulous Reviewer**: Support the Company Secretary in reviewing corporate documents such as contracts, resolutions, and annual reports. Your keen eye for detail will help us maintain accurate and comprehensive records.

**Communication Guru**: Provide administrative support for corporate secretarial matters, including official correspondence, document management, and follow-up on action items. In this matrix environment, your ability to coordinate with contributors and ensure timely reports will be invaluable.

**Meeting Maven**:Attend, arrange, and facilitate committee meetings, and produce high-quality agendas and minutes. Your attention to detail will ensure consistent, concise, and actionable records.

**Continuous Improvement**: Drive process improvements, finding new ways to enhance our efficiency, and supporting the growth of our organisation.

**Extra Mile**:Undertake additional administrative tasks, such as conference arrangements, awards, events, and general admin support, as required. Your flexibility and adaptability will help us deliver outstanding events and services.

- Excellent ability to communicate in a clear and simple way, and write concise minutes, guidance and reports in direct, plain language.
- Strong interpersonal skills and the ability to work both independently and collaboratively in a matrix environment.
- Good ability to adapt your approach to the working styles of different people, at all levels of seniority.
- Good judgement and discretion in highly sensitive environments.
- Proactive mindset, demonstrating initiative and problem-solving skills.
- Able to work some evenings and weekends as required. Our committee members are volunteers, and this means we often arrange meetings outside the normal working day. You will need to work flexibly around this, although you can arrange and plan meeting dates well in advance.
