**Reports to: Assistant Operations Director**

**Purpose of position**:
Ø To ensure that Operations Teams administration is operating smoothly, as well as being efficient and timely

Ø To work closely with the other Head office colleagues to ensure that the office runs smoothly

**Duties and responsibilities**:
**Reception**
- Manage reception and look after visitors
- Open, sort, record and distribute incoming mail
- Sort, allocate and progress day to day correspondence and papers in order that they
are actioned quickly and effectively
- Record all incoming/outgoing post and ensure that they are sent
- Answer telephone calls, direct them as appropriate and take messages
- Arrange visits, itineraries and hospitality for visitors when required

**Administrative Support**
- Provide a confidential administration service to the Operations Team
- Prepare various documents, including minutes from meetings, gather data and
produce reports for the Operations Team
- Take initiative in channelling and processing telephone calls, taking messages where
appropriate and ensure messages are communicated
- Process filing and document retrieval as required, maintaining efficient systems, strict
security and confidentially on items being handled
- Plan Training dates for our in-house training team, complete administration duties in
relation to planned training
- Check and order stationary/office supplies and report on quarterly expenditure.
- Assist in planning and arranging events, including organising catering
- Assist in overseeing maintenance of office facilities and equipment
- Perform other relevant duties when needed

**Other duties**
- To attend any team and other internal meetings as requested
- To attend relevant training and personal development opportunities in order to fulfil
the requirements of the post
- To adhere to all R.E.A.C.H Policies and Procedures and assist the organisation in
developing, implementing and monitoring them, including Equal Opportunities
- To carry out any other duties relevant to the post as required

**PERSON SPECIFICATION**

**Experience/skills**

**Essential**

Proven administration experience

Excellent communication and customer care skills

Confidence to work across all levels of business

Demonstrable organisational and it skills to include Microsoft word, Outlook and Excel

The ability to be flexible and prioritise workload as required

Experience of people with learning disabilities is desirable but not essential, although an empathy with the aims of R.E.A.C.H is essential
