**An Executive Support Officer is required to provide direct and specific management, administrative and coordinated high level support to the Senior Leadership Team (SLT).**
**To ensure an efficient corporate and public facing response. To monitor SLT cost centres, prepare reports, and manage projects on behalf of the SLT/D and AD, ensuring deadlines are met and stakeholders are engaged and informed.**
**To manage and co-ordinate SLT diaries and forward plan, arrange business meetings for SLT/D, conduct research and take responsibility for the smooth running of all aspects of the service.** Key responsibilities:

- Prepare reports and manage projects on behalf of the SLT, ensuring deadlines are met and stakeholders are engaged and informed.
- Manage and co-ordinate complex diaries for busy, senior leaders, support meetings - preparing forward plans, agendas.
- Collation of papers and taking high quality minutes / actions.
- Manage receipt, allocation, approval, and submission of freedom of information requests and enquiries from the Mayor, Members and MPs.
- Prepare reports, correspondence, documentation, briefing notes and research and draft responses to correspondence, complaints, Freedom of Information requests, corporate requests for information and local and national matters of public, governmental and national interest.
- Lead on the organisation and successful delivery of specific events and visits.
- Functional support for correspondence/communications management, filing, diary, and meetings scheduling, initial point of contact ensuring confidentiality, professional integrity and discretion is always maintained.
- Take lead responsibility for specified areas of management and co-ordination as directed, including providing analysis of related activity and trends e.g., sickness reporting, appraisal collation, etc.
- Liaise with senior local and central government officers, politicians, community representatives and private and voluntary sector organisation representatives.
- Create/work as a flexible team with assistant staff so that roles cover/interact and provide an integrated seamless service.
- Create and manage systems to support the delivery of work for SLT/D.
- Manage the schedule and delivery of SLT meetings, coordinate and secure the delivery of reports and other submissions.
- Manage workflow of correspondence and requests for information on behalf of SLT members.

- Significant experience working at a senior administrative/ PA level in a challenging environment.
- Evidence of additional business/admin management or project management training.
- Evidence of minuting and servicing meetings.
- Knowledge of the education system and current education / children’s services issues.

Skills/Technical skills:

- Good networking and negotiation skills and the ability to influence a broad spectrum of people.
- Ability to present complex data, information, ideas and/or processes in a clear and transparent manner.
- Advanced office IT skills.
- Ability to work on own initiative and to plan, organise, determine priorities, and execute work in an effective manner with mínimal supervision within tight timescales.
- Ability to develop productive working relationships and work effectively with a demanding range of senior managers and as part of a team.
- Comfortable with matrix working and conflicting priorities/challenges.
- Ability to assimilate large volumes of information, both written and verbal.
- Ability to communicate effectively, in verbal and written forms, with people at all levels.
- Ability to work flexibly and under pressure to achieve successful outcomes and ensure successful service delivery.
- Ability to manage and organise complex work plans and delegate tasks as appropriate.
