Facilities Management Coordinator

**Overview**:
Elliotts Group, a dynamic and diversified Facilities Management, Drainage, Groundworks, and Cleaning company, is seeking a proactive and organised Facilities Management Coordinator to join our team. Based at our head office in Stevenage, this person will play a pivotal role in ensuring smooth communication between clients, senior management, and operational staff on the ground, with a primary focus on managing the helpdesk function.
**Key Responsibilities**:
Helpdesk Management:
- Act as the central point of contact for clients, addressing their requirements and concerns promptly.
- Efficiently manage the helpdesk function, ensuring a seamless flow of information between clients and operational staff.
- Prioritise and schedule work orders based on client needs and operational capacity.
Staff Coordination:
- Schedule and assign tasks to operational staff for Facilities Management, Drainage, Groundworks, and Cleaning projects.
- Communicate job details clearly, providing all necessary information for successful task completion.
- Monitor staff performance and address any issues that may arise during project execution.
Documentation and Proof of Work:
- Oversee the collection of pre and post images of completed works, ensuring accurate documentation for client records.
- Maintain a comprehensive database of completed tasks, facilitating easy access to historical records.
- Ensure all completed work meets quality standards and client expectations.
Progress Reporting:
- Provide regular updates to clients on the status of ongoing projects, addressing any concerns or changes promptly.
- Collaborate with senior management to relay project progress and address any resource or scheduling issues.
- Generate and distribute reports detailing completed works, pending tasks, and overall project status.
Qualifications and Skills:
- Previous experience in Facilities Management or a related field is highly desirable.
- Exceptional organisational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Proficient in using helpdesk management software and Microsoft Office Suite.
- Ability to work effectively in a fast-paced environment.
- Problem-solving mindset with a keen attention to detail.
